The HR and Benefits Administrator works as part of a coordinated HR team in support of people initiatives. This pivotal role manages the employee benefits programs and works in support of other areas of HR as needed. This role is responsible for compliance, communicates important information to the organization about benefits, and contributes to the overall well-being and satisfaction of the workforce. This essential role directs and plans the day-to-day benefits operations and continually investigates new benefits programs, improving on existing programs, and ensuring employees know how to access their benefits. 

Essential functions of this role include:

  • Administers and manages all aspects of employee benefits programs, including health, dental and vision insurance coverage, 401(k) retirement plan, life insurance, disability insurance, and other related benefits for staff members in the US, UK, and Belgium.
  • Works closely with the Accounting department to audit monthly invoices ensuring billing and coverage accuracy.
  • Stays informed about industry trends, regulatory changes, and market conditions to make recommendations for improvements or adjustments to the benefits program.
  • Facilitates the enrollment process for new employees, including providing information about available benefits, assisting with paperwork, and answering questions.
  • Develops and implements communication strategies to educate the organization about benefit offerings, including regular updates, presentations, and written materials.
  • Works closely with employees and insurance providers regarding FMLA, disability and leave of absence issues.
  • Handles annual reporting to ensure benefits programs comply with relevant laws, regulations, and policies, such as the Affordable Care Act (ACA), ERISA, and other applicable legislation.
  • Facilitates the retiree benefits program.
  • Oversees the day-to-day administration of qualified retirement plans, including 401(k) and frozen defined benefit plans.
  • Collaborates with the retirement plan provider, investment managers, and consultants to meet annual reporting requirements, as well as optimize plan design and performance.
  • Coordinates with legal and regulatory authorities to stay compliant and update policies as needed.
  • Audits ADP Workforce Now HRIS to ensure accurate and up-to-date records of employee benefits elections, changes, and terminations.
  • Utilizes ADP Workforce Now HRIS to manage benefits data and generate reports for analysis.
  • In conjunction with the Chief Human Resources Officer, collaborates with benefits providers and insurance carriers to negotiate contracts, and review plan performance.
  • Plans and executes annual open enrollment periods ensuring changes are processed accurately.
  • Analyzes the costs of various benefits programs, tracks expenses, and recommends adjustments to ensure the organization remains competitive and within budgetary constraints.
  • Identifies opportunities for process improvement and efficiency in benefits administration.
  • Participates in benchmarking exercises to ensure the organization's benefits remain competitive in the market.
  • Other duties as assigned.

If you have the following credentials, we encourage you to apply:

  • Bachelor’s degree required; HR certification preferred.
  • Minimum four years’ experience in HR with specialization in benefits administration; global experience a plus.
  • Working knowledge of human resource principles, practices and procedures.
  • Excellent oral and written communication skills.
  • Excellent customer service skills with a desire to support staff members.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a fast-paced environment.
  • Self-starter who sees what needs to be done, collects the necessary information to be successful, and completes initiatives.
  • Highly organized and detail oriented to ensure deliverables are accurate.
  • Strong ability to prioritize work and manage time across multiple projects based on both short- and long-term objectives.
  • Proficient in Microsoft Office Suite and related software, advanced Excel skills required.
  • Strong technical competency with the ability to be proficient in ADP Workforce Now HRIS.
