About the Position:
The Project Assistant works directly with Project Leads, which include either Senior Research Director(s) and/or Research Manager(s), on an administrative level in order to keep the projects they are assigned to moving forward in a timely manner. While our projects are the number one priority since they are the life of our organization, the Project Assistant may work closely with the Administrative Project Coordinator, Chief Operating Officer, and President & CEO on administrative tasks assigned at the organizational level. The Project Assistant is at the center of the Projects and business operations and the soul that keeps these teams moving forward.
About You:
Are you passionate about contributing your skills as a Project Support Assistant to working with indigenous populations at both community and system levels? Do you have experience driving and directing large projects? Do you demonstrate the ability to work collaboratively in a team approach, taking input and guidance from others, including staff and external elder consultants?
How will you make an impact?
The scope of duties, with guidance from the Senior Research Director, include, but are not limited to, the following:
Provide administrative and operational clerical support to the department or staff.
Help to set up, schedule, cancel, and reschedule project meetings.
Attend and participate in all project meetings.
Take detailed meeting minutes at all meetings related to the assigned project.
Act as point of contact for the project team in order to communicate pertinent information between staff at both the project and operations level.
Track projects within the assigned project management software (monday.com) by maintaining and updating the project board with any changes discussed during the meeting.
Performs record management functions by notifying the project team if there are files within the project folder in the Google Drive that require maintenance.
Anticipate the needs of the project team before they arise.
Prepare, organize, update, and distribute project materials as assigned.
Organize resources and supplies for project work as needed.
Research information as required.
Collaborate on project presentations.
Offer suggestions to improve efficiencies.
Alert the project manager to issues as they arise.
Complete any tasks assigned in an efficient and timely manner.
Education, Required Skills, and Qualifications:
The position requires 2 experience in working with indigenous populations at community and system levels.
Proficient computer skills.
Proficiency in Google Workspace, including Google Drive, Google Sheets, Google Docs, Google Calendar, Google Slides, and Jamboard, as well as experience with Google Drive for desktop and Microsoft Office Programs.
Proficiency in using zoom for video calls.
High level of integrity and confidentiality.
Demonstrates professionalism in communication skills, both verbal and written.
Highly organized.
Has a strong attention to detail.
Able to multitask.
Demonstrates problem-solving skills.
Able to work independently and as part of a team.
Proactive, deadline-driven and efficient.
Maintain flexibility.
Be open to new tasks, ideas, skill building, and capable of succeeding in a rapidly changing environment
Ability to effectively and consistently work remotely from your state/territory (at date of hire) within the United States.
Ability to work collaboratively in a team approach, taking input and guidance from others, which include staff and external consultants.
Reports directly to the COO.
What we offer:
Compensation is to be negotiated during the time of hire and dependent upon the employment status. The salary range for this position is $35,000 - $42,000.
As a small business, there are many benefits we cannot yet offer, but we do reinvest revenue at the end of each year back into the employees in a transparent and equitable way. We have a retirement account for employees working 5 years or more for the organization. We offer the benefit of virtual work so you may both control and balance your own time. As long as our quality deliverables are met and we can accommodate meetings with our clients, we are free to set our own work hours, days and schedules.
Depending on the level of experience and qualifications, candidates may qualify for higher level positions that include responsibilities at the project level for research and evaluation activities within the expert area of training and practice.
