Description

Job purpose

The Human Resources Assistant is responsible for the administrative support of day-to-day human resource operations and under supervision performs work of moderate difficulty in human resources including HR and interview scheduling and HR special projects. The HR Assistant is a forward-facing role that greets, assists, and provides direction and information to interviewees, clients, visitors, and other guests of IMMY.

Key duties and responsibilities

HR General Administrative Support

  • Maintains accurate and up-to-date human resource files, records, and documentation
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; Refers more complex questions to appropriate senior-level HR staff or management as necessary
  • Responds to reference checks and verifications of employment status
  • Assists with onboarding and orientations for new employees
  • Support HR team with various administrative tasks as needed
  • Maintains high standards of confidentiality of all employee records and information

HR & Interview Scheduling

  • Schedule interviews and coordinate interview logistics for candidates and interviewers
  • Communicate interview schedules and details to candidates and hiring managers
  • Ensure interview rooms are prepared and set up for interviews
  • Follow up with candidates and hiring managers to collect feedback on interview experiences
  • Assists in scheduling for People Process meetings or events as necessary

HR Projects

· Maintains the monthly IMMY employee newsletter

· Assist in the planning, coordination, and execution of HR initiatives and projects

· Conduct research and gather data for various HR projects and initiatives

· Prepare reports, presentations, and other materials for HR projects as needed

· Collaborate with other departments or teams on cross-functional HR projects

· Assist in the implementation of new HR policies, procedures, and systems

Front Desk

  • Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs/escorts them to the appropriate location
  • Answers, screens, and directs phone calls to staff; takes messages as needed
  • Receives mail and courier deliveries and delivers or distributes items including sorting incoming mail into mailboxes; Drops off outgoing mail
  • Helps maintain a neat and orderly lobby, breakroom, and conference room
  • Informs Purchasing when necessary about office supplies and break room inventory
  • Interacts with and supplies information to job applicants, employees, department heads, and public and private agencies
  • Any other duties as assigned

Qualifications and Experience

Required Qualifications include:

  • GED or High School Diploma
  • Basic computer skills (including Microsoft Office Suite)
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Excellent organizational skills and attention to detail
  • Ability to work independently and as part of a team

Preferred Qualifications include:

  • Prior office experience
