Executive Administrative Assistant II/Office Manager

Job Description:

We seek an Administrative Assistant/Office Manager to join our dynamic and collaborative team. The ideal candidate is efficient, detail-oriented, pro-active, and skilled in developing and maintaining workplace and parishioner relationships. The Administrative Assistant is responsible for front office duties of the Parish in support of the Pastor and overall operations.

II. MAJOR DUTIES AND RESPONSIBILITIES

  • Provides administrative support to ensure efficient office operations.
  • Maintains physical and digital filing systems.
  • Provides quality customer service to meet needs of Pastor, staff, parishioners, and visitors.
  • Coordinates communications – manages incoming calls, utilizes email and other platforms, schedules appointments and facility bookings, manages deliveries.
  • Responds to emails and other digital queries and correspondence.
  • Manages the Parish calendars, including executing a Facilities Use Agreement (when required).
  • Drafts and edits letters, reports, and other documents. Uses word processing and presentation software to create and edit documents.
  • Inputs and updates information in databases and spreadsheets.
  • Prepares meeting agendas and takes meeting minutes.
  • Coordinates logistics for meetings, including room setup and catering.
  • Operates and maintains office equipment, including printers and copiers.
  • Works with maintenance staff and outside vendors to ensure office equipment is in good working order and inventory of office supplies is sufficient.
  • Researches, compiles and summarizes, as requested, information for reports or presentations.
  • Works closely with other administrative staff and supports other colleagues as needed.
  • Maintains and works with sensitive information with discretion to ensure confidentiality, security and compliance with policies and regulations.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Presents a positive and professional image for the organization.

Qualifications:

  • High School Diploma or equivalent required.
  • Previous office administrative experience preferred.
  • Ability to work independently with limited supervision.
  • Ability to work under pressure and meet deadlines.
  • Excellent verbal and written communication skills.
  • Proficient in general computer skills and use of Microsoft Office Suite (Word, Excel, Outlook). Experience in maintaining/updating web pages.
  • Must be able to pass a background check.
