Duration : 5 Months

  • Position is onsite Monday thruFriday 37.5hour week.
  • Initial interview willbe held via teams with inperson interviews required for 2ndinterviews.
  • Position will require occasionaltravel for meetings or admin. duties. Travel isreimbursable.

Purpose ofPosition / Summary :

  • The incumbent works as a AdministrativeAssistant with the Indiana Department of Health (IDOH) FoodProtection Division (FPD) Rapid Response Team (RRT) and the ProduceSafety Team.
  • Under the supervision of theRRT / Produce Safety Program Manager this person acts as an assistantfor the manager and all team members in order to complete dutiesefficiently.

The incumbent will :

  • Provide a wide range ofadministrative assistance to two programs within the FoodProtection Division.
  • Act as a liaison betweenprogram or department administration state agencies and otherstakeholders.
  • Provide routine policyinterpretation and related decisions to stakeholders.

Research and prepare various reports for manager.

  • Prepare and processes correspondence and verballycommunicates with the public or other agencyrepresentatives.
  • Directs incomingcorrespondence to the appropriate individual.
  • Reviews and inspects incoming documents for accuracycompleteness and to ensure compliance with applicable federal stateand local rules and regulations.

Obtains necessary approvals ifneeded.

Provides technical guidance andcomposes manuals for agency personnel.

Coordinatesclerical and administrative functions.

Other duties asassigned.

Requiredskills :

  • High school diploma or equivalent
  • 3years full time experience performing administrative supportbookkeeping office management or related experience.
  • Prior experience analyzingprocedures and policies and writing procedural manuals.
  • Prior experience with researching and preparingdepartmental reports.
  • Strong communicationskills both written and verbal.
  • Prior workingexperience in an assistant manager role in an officeenvironment.
