As a Billing Specialist at Iacofano Catering LLC, you will play a crucial role in ensuring accurate and timely invoicing processes. You will collaborate closely with our finance and operations teams to facilitate billing procedures, maintain financial records, and provide exceptional customer service to our clients.

Responsibilities:

  1. Generate and process accurate invoices for catering services rendered, ensuring compliance with client contracts and pricing agreements.
  2. Verify the completeness and accuracy of billing data, including event details, menu items, pricing, and discounts.
  3. Collaborate with internal teams to reconcile billing discrepancies and address client inquiries or concerns promptly.
  4. Maintain organized records of billing transactions, payments, and outstanding balances.
  5. Prepare and distribute monthly statements to clients, following up on overdue accounts and facilitating collections as necessary.
  6. Assist in the development and implementation of billing policies, procedures, and systems to enhance efficiency and accuracy.
  7. Stay informed about industry trends, regulations, and best practices related to billing and invoicing processes.
  8. Provide support during financial audits by preparing relevant documentation and responding to auditor inquiries.

Qualifications:

  1. Bachelor's degree in accounting, finance, or a related field preferred.
  2. Proven experience in billing, invoicing, or accounting roles, preferably in the catering or hospitality industry.
  3. Strong attention to detail and numerical accuracy, with the ability to analyze data and identify discrepancies.
  4. Excellent communication skills, both written and verbal, with a customer-centric approach to resolving issues and building relationships.
  5. Proficiency in using accounting software and Microsoft Office applications, especially Excel.
  6. Ability to prioritize tasks, meet deadlines, and work effectively in a fast-paced environment.
  7. Knowledge of billing regulations, compliance requirements, and industry standards.
  8. Positive attitude, team player mentality, and willingness to adapt to evolving business needs.nd monthly meetings, forecasting future costs, reporting actual vs. forecast budgets, creating and coaching P&L’s. Get the facility team members to help set goals and work to help the directors achieve those goals. Help support Director of Corporate Services with Human Resources tasks.

Job Description:
Date entry and auditing of receipts communicating to the leadership team items that could be purchased through our vendors but we are wasting time running to the store for.
Produce and teach reports that challenge the facilities to be better and give them the opportunity to earn a bonus

  • Bi-weekly simple P&L: Sales, Labor, COGS & Average Calculated Overhead
  • Monthly P&L
  • Hourly Overhead Costs
  • Production Cost Reports
  • Vehicle Fuel Tracking and Reports
  • Financial opportunity areas for each facility

Provide trends to the Facilities. Work with the team on cost reduction goals and provide weekly, bi-weekly & monthly reports to show those numbers and trends.

  • Food and Paper Costs

Create Financial Reports

  • Cast Flow
  • Monthly/Quarterly/Yearly P&L
  • Projected vs. Actual

Actively pursue cot cutting measures of daily and monthly recurring expenses

  •  Tax exemption on food purchases
  • Travel planning (hotel and flight booking)

Support Setup of new Facilities

  • Setting up Vendors: Food, Paper Goods, Trash, Internet, Repairman and Installers, Urgent Care Contacts, etc...

Human Resources

  • Process Bi-Weekly Payroll
  • Input Payroll data into Quickbooks
  • Support Directors with questions as it relates to time and attendance in HRIS
  • Find trends in labor spending and work with leadership to control labor costs.
