HTG is Hiring a Project Coordinator Near Vancouver, WA

JOB DESCRIPTION

Summary/Objective The Project Coordinator position will be responsible for preparing comprehensive project plans including resources, scheduling and budget. The individual will perform various coordinating tasks, including scheduling and risk management, along with administrative duties, such as maintaining project documentation and data entry into various systems. To succeed in this role, the individual should have excellent time management and communication skills, as they will collaborate with clients and internal teams to deliver results and meet deadlines.

Essential FunctionsReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions

  1. Use nationwide platform to source, deploy and track subcontractors from beginning to end of project, focusing on the below areas: 
        • Assigning technicians
        • Vetting technicians
        • Technician documentation
        • Technicians check in/check out
        • Facilitating communication between technicians and client technical support
        • Scheduling break fix jobs 
        • Closing out work orders 
  2. Responsible for setting up new clients in various systems
  3. Maintain client records in various systems for assigned projects and duties
  4. Assist in development of project plans as assigned by Senior Project manager
  5. Responsible generating reports on data relating to assigned projects as requested or assigned
  6. Provide project status information both internally and externally using team meetings, minutes, e-mail, teleconferences and direct communication
  7. Responsible for verifying month-end billing for all assigned projects and tasks is provided to Accounting Department
  8. Maintain confidentiality of all client information.
  9. Cultivate positive working relationships with both internal and external project stakeholders
  10. Proficient in all department and company policies, procedures and processes.
  11. Recommend improved operational procedures to Senior Project Manager.
  12. Give and receive candid and constructive feedback
  13. Report consistently and on time to work
  14. Attend all work-related meetings and conference calls
  15. Perform other work-related duties as assigned

Work EnvironmentThis job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type/Expected Hours of WorkThis is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand. This position will have a hybrid remote work schedule, working in the office and Tuesday and Thursday, and remotely Monday, Wednesday, and Friday. 

TravelMinimal travel is expected for this position.

Required Education and Experience

  1. Associate degree.
  2. Ability to work flexible shifts and after hours as project demands
  3. Advanced knowledge of Microsoft Excel
  4. Intermediate knowledge of SharePoint
  5. 1 year of customer service experience and/or 1 year of administrative experience

Preferred Education and Experience

  1. Bachelor’s degree.
  2. 1 year of project coordination experience
  3. Experience sourcing and deploying subcontractors
  4. Experience with Microsoft Project or similar program
