Summary:

The Special Events Associate role is responsible for multiple projects and assisting the Assistant Director, Campaign and Events with Houston Ballet crisis relief campaign committee and events including planning, implementation, and execution.


Essential Duties and Responsibilities:

Include the following. Other duties may be assigned.

  • Provide support for the crisis relief campaign committee including scheduling and planning meetings and campaign reporting
  • Provide scheduling and meeting support to Executive Director, Artistic Director and Chief Development Officer for donor online engagement opportunities
  • Provide support for the Onstage Dinner, Ballet Ball, Raising the Barre as assigned
  • Manage tracking and fulfillment of campaign benefits for donors and fundraisers including online engagement opportunities and events, distribution of gifts (packaging and mailing) to donors and fundraisers and stewardship of new donors
  • Manage creative and safe execution for additional events/receptions including Ball Kickoff, Ball Underwriter Event and other events as assigned either virtually or in-person
  • Manage all aspects of Ballet Ball Silent Auction including auction donors and items databases, sponsorships and donors as needed in addition to auction item fulfillment
  • Manage financial tracking for all events reservations, RSVPs and manage retention of gifts
  • Develop and provide oversight of campaign and events calendars and assist with vendor relations for events, print, mail and email
  • Draft and prepare campaign and events print materials, campaign and event literature, letters and proposals as needed
  • Manage and continue to develop a personal portfolio of prospects and donors
  • Operate as an integral member of the Development Department
  • Other duties as assigned


Qualifications:

  • Bachelor’s degree
  • A respect for confidentiality
  • Ability to collaborate, take initiative and make effective decisions
  • Demonstrated ability to work in a fast-paced environment
  • Detail oriented
  • Experience with Windows based applications including knowledge of database, Internet, spreadsheet, and word processing software (Excel, Word, etc.)
  • Flexibility and ability to multi-task
  • Strong verbal, written, interpersonal communication, and problem-solving skills
  • Ability to interpret and follow policies and procedures

Preferred Additional Qualifications:

  • Knowledge of Adobe Creative Suite and Microsoft Office including Publisher and InDesign
  • Social Media and digital communication experience preferred
  • Two years’ experience in fundraising/development/special events
  • Tessitura experience a significant plus

Computer Skills

  • Proficient personal computer skills including email, record keeping, routine database activity and processing systems, word processing, spreadsheet, graphics, etc.
  • Knowledge of Adobe Creative Suite and the full Microsoft Office Suite


Work Environment:

  • This position is remote for the foreseeable future in response to COVID-19 – office availability may be required in the future.
  • Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
  • Regular – Monday – Friday, occasional weekends, significant work time outside the normal business hours
  • Light overnight travel (up to 10%) by land and/or air.
