Summary:
Houston Ballet is in need of a part-time Office Administrator in our Production Department. This is a part-time, hourly, temporary position, to last from early April 2024 until early July 2024. Hours are expected to be 4 hours per day, and can be flexible based on the candidates' needs.
This part-time position will fill in for a member of the Production Operations team who will be out on leave. The Office Administrator will check incoming emails, and assist in the management of all Houston Ballet rentals, provide contractual information to associated union representatives, manage shipping logistics, track and maintain the department budget, and handle general office work.
Essential Duties and Responsibilities in Production:
Include the following; other duties may be assigned.
Work closely with Head of Production to manage incoming season rentals as well as outgoing Houston Ballet rentals including drafting of contracts and invoicing
Arrange and manage all local and international shipping/customs paperwork for rentals and tours
Assist the Head of Production in creating and compiling season budget
Filter production requests to the proper persons and follow up on job completion
Work with Head of Production on Houston Ballet crew contracts as well as touring contracts for travelling crew heads and designer contracts
Maintain relationships with IATSE Local #51, IATSE Local #896, IATSE National Benefits, United Scenic Artists and Wortham Center Operating Company
Book travel for incoming artists in collaboration with the Company Manager
Assist during production weeks by arranging street permits and security for load-in and load-outs, providing crew food, and being available to run miscellaneous errands
Generate spending/budgeting reports for Development throughout season
Work with finance on benefit reports and account reconciliations
Qualifications:
Knowledge of implementing and creating budgets
Familiarity with MS Office Products
Familiarity with financial software – preferably QuickBooks
Knowledge of Dance/Theatre/Performing Arts preferred, but not required
Expectations:
