    Job Summary:
    The Marketing and Communications Assistant provides project management, technical expertise, mass communications support, page layout/graphic design, event coordination, and office management functions to support the District communications team, enrollment team, and community education programs. This positions serves as a welcoming first point-of-contact for visitors to the communications office and works with mass communications tools and training materials, creation of marketing brochures and flyers, proofreading and editing, research, website maintenance and training, organization, invoice payment and purchasing, event coordination, and other responsibilities as determined by supervisors.
    Duties/Responsibilities:
    • Provide organization, office support, graphic design, and enrollment support to the communications office in a fast-paced environment with multiple competing projects and deadlines.
    • Technical support and troubleshooting skills for website and other platforms. Provides web training for staff.
    • Provides office management and human resources processes to carry out day-to-day operations of the communications office with minimal supervision. Independently makes decisions to create system efficiencies and ensure smooth operation, and a welcoming atmosphere.
    • Manages and maintains organizational systems for physical and digital files for training guides, instructional files, communication archives, and more.
    • Completes office financial responsibilities, invoice and credit card payments, purchasing, and organization.
    • Dedicated Blackboard messaging system manager, serves as the primary trainer for new and existing Blackboard administrators, resolves technical issues, researches translation platforms, executes list generations, and establishes best practices for use.
    • Manages production of community education marketing brochures. Ensures that projects meet established branding standards and consistency in style, tone, and quality. Creates new templates and standardization as marketing products need to evolve.
    • Manages details of direct mail lists, carrier route updating, and ensuring accuracy of lists.
    • Manages and creates Targeted Services marketing publications and translations.
    • Kindergarten enrollment marketing liaison for buildings and kindergarten event organizer.
    • Serves as event manager. Independently handles all aspects of events from marketing materials, room bookings, catering, tech, gift selection, and AV requests.
    • Research, fact check, proofread, and provide copywriting for marketing materials.
    • Works to ensure consistency of Hopkins’ brand standards and key messaging.
    • Develops expertise in ADA standards to ensure technology platforms are accessible.
    • Researches copyright issues for third-party brands, creating copyright notation standards and disclaimer communications.
    • Provide market research by collecting and analyzing data.
    • Create web pages, web graphics, web content, and web downloads.
    • In addition to scheduled projects, responds and prioritizes daily unanticipated work requests.
    • Assist in ongoing development of new technologies to support district initiatives (i.e. web site, social media, direct email marketing).
    • Handles travel, conference, and membership coordination, with diligent costing research.
    • Work collaboratively with Hopkins School District, surrounding districts, and community organizations when required.
    • Provide support to the enrollment team. Performs enrollment tasks and organization, works directly with families needing assistance with the enrollment process, acts as back up to enrollment staff as needed, and researches technical ways to create efficiencies with the enrollment process.
    • Gain familiarity with District programs to ensure correct answers and provide customer service support.
    • Perform all other duties as assigned by supervisors.
    Qualifications:
    • Bachelor's degree preferred.
    • Minimum three to four (3-4) years post secondary marketing and/or communications education or related experience.
    • 3-4 years experience with professional graphic design software.
    • Training and experience in marketing and/or communications.
    • Competency and experience in page layout and branding standards.
    • Quality writing skills.
    • Strong editing/proofing skills.
    • Ability to establish priorities, problem-solve, remain flexible, and work well under pressure with tight deadlines and interruptions.
    • Basic knowledge of working with print houses and related vendors.
    • Excellent internal and external oral and written customer service skills.
    • to 4 years experience and competency using Adobe lnDesign, Photoshop, Illustrator, Acrobat, Microsoft Office including Word and Excel, Google Suite and Google slide decks, and database software.
    • Competency and experience with web publishing, design, and software.
    • Knowledge of marketing and customer databases.
    • Experience managing office financials, customer database, and database marketing
    • Office management skills.
