Hernando County, Florida BOCC is Hiring an Administrative Assistant II (Facilities) Near Brooksville, FL

Advanced clerical, secretarial and staff assistant work which includes the operation of computer-based data entry, and word processing software, work management and accounting.

  • Performs duties of a staff assistant nature and participates directly in the work for the individual(s) supported. Secures details of specialized information, coordinating office work and providing information regarding the services and operation of the unit.
  • Primary support for taking service requests via phone, email, walk-ins and internal requests. Data entry of all requests into the HIPPO system, dispatching of request and running reports.
  • Assist and backs-up Finance Specialist with accounting duties as needed.
  • Performs research and retrieval of records. Conducts statistical comparisons of information. Assists in the preparation and maintenance of department records.
  • Assists employees in completing travel vouchers to obtain reimbursements for their travel related expenses.
  • Order office and janitorial supplies and other facility supplies as needed.
  • Coordinates P-Cards for all VISA cardholders. Reviews and allocates visa purchases daily. Review and reconciliation of statements monthly.
  • Verifies that expenditures remain within the budget.
  • Fixed assets Inventory Custodian (responsible for processing I-1’s & I-2’s to add/delete assets from inventory in Adminsys & coordinate yearly inventory of fixed assets).
  • Process accounts receivable payments and prepares accurate records.
  • Regular attendance.
  • Performs other reasonable related duties as assigned by immediate supervisor and other management personnel.
Emergency Response 
County employees are required to report for work during a state of emergency and are subject to recall around the clock for emergency response operations which may include duties other than those specified in this job description. Minimum Qualifications
  • Graduation from an accredited high school, or possession of an acceptable equivalency diploma.
  • Three (3) years’ experience involving secretarial / clerical duties including the operation of a personal computer, keyboard, or similar data entry equipment, with emphasis in local government.
Licenses, Certifications, or Registrations
  • Must possess and maintain a valid Florida Driver’s License and be insurable by current insurance carrier.
  • Must possess or within six months be able to obtain NIMS/FEMA certifications: IS-00700.a, IS-00200.a and IS-00100.a.
Required Competencies
  • Knowledge of business, English, spelling, and punctuation to prepare documents and compose letters, etc.
  •  Knowledge of office practices and procedures.
  •  Knowledge of general mathematics.
  •  Knowledge of the department’s policies, procedures and practices.
  •  Ability to establish and maintain effective working relationships with employees and the public.
  •  Ability to access input and retrieves information from a computer.
  •  Ability to communicate using speaking, hearing and visual skills.
  •  Skill in the operation of computers and emails.

Environmental Conditions

  • Constant; Office environment and works closely with others.
