Heights Philadelphia is Hiring a Coordinator, Development Near Philadelphia, PA

The Opportunity
The Development Coordinator will coordinate all aspects of the advancement team’s work in Salesforce (the organization’s CRM), including gift processing, acknowledgements, data-entry, and report generation.
You’ll help us to achieve:
  • An accurate and comprehensive database that fully supports the fundraising program as well as alumni and volunteer engagement activity.
  • Excellent stewardship of individuals and organizations who financially invest in Heights.
What You’ll Do
Gift Administration
  • Tracking incoming donations to ensure receipt and communication with appropriate fundraiser, finance staff, and donor.
  • Entering all gifts in the database, ensuring timeliness and accuracy as well as consideration of additional details (soft credits, designations, matching gifts, new biographical information, etc.)
  • Coordinating the gift receipt process to ensure donors are acknowledged correctly and thanked in a timely manner.
  • Generating donor lists and analysis of fundraising progress for mailings, reports, and dashboards.
  • Generating pledge reminders on a quarterly basis.
  • Communicating with 3rd party giving platforms as necessary to ensure proper gift entry and acknowledgement.
  • Working with the Finance team to reconcile monthly giving, prepare documents for the auditors, and provide information for the creation of the 990.
  • Manage Heights’ online donation platform, Classy, exporting data as necessary.
  • Updating the Development Handbook when practices and procedures change.
Database Management & General Advancement Team Support
  • Maintaining the database to ensure current biographical information for alumni, donors, partners, and volunteers.
  • Working closely with the Associate Director of Alumni & Volunteer Engagement to track alumni and volunteer activity and connections in Salesforce.
  • Managing relationships with vendors, such as providers of database, online giving, and prospect research services.
  • Assisting with the training of advancement team members on use of Salesforce and data-entry processes.
  • Coordinating submission of Advancement invoices and expenses to the Finance & Operations team.
  • Supporting the Advancement team with project tasks as needed.
  • Other duties or projects as deemed appropriate and necessary
What You’ll Bring
  • At least one year of work experience in a related field
  • A passion for increasing the educational access for underserved communities.
  • Demonstrated experience managing gift-processing functions in a fundraising database. Experience with Salesforce is a bonus.
  • Excellent proficiency in use of technology: Microsoft Office (Word, Excel, Power Point) and Google Suite (Gmail, Drive, Docs, Sheets, Slides, Calendar).
  • Bachelor's degree required

In addition to your experience, expertise and strengths, you must meet PA State background check requirements [PA Criminal, PA Child Abuse and FBI Fingerprint Check] at hire and every five years thereafter. You’ll also need to adhere to COVID safety guidelines as required by the Department of Human Services and/or the School District of Philadelphia.
Compensation & Benefits
The salary for this position, which depends on prior work experience and our assessment of your demonstrated fit for the role, will likely be between $45,000-$60,000. Heights offers competitive base salaries based on the Philadelphia market among not-for-profit organizations of similar size, with opportunities for salary growth over time. We believe in compensating staff members fairly in relation to each other, their qualifications, and their impact on behalf of the organization, and take internal and external equity seriously. You will have an opportunity to discuss salary in more detail after you begin the application process.

Work Arrangements
Heights Philadelphia currently maintains a hybrid work environment where staff work from home, in our Center City office, and on-site with school partners, as determined by the staff member's or team’s responsibilities and the needs of the organization. We also prioritize time together as an organization - living in our value of succeeding together. All office-based Heights employees report minimally two days a week and spend Wednesdays in-office in Center City. This policy is not absolute and subject to change at the discretion of the organization.
