Hearts and Homes for Youth is Hiring a Resource Manager Near Burtonsville, MD

Job Overview:

We're looking for a highly organized and experienced Resource Manager to join our team!

Requirements:

  • Provide program support to all programs and administrative assistance to the Leadership team.
  • Responsible for processing all incoming mail, including checks, donations, and bills, and keeping accurate records using Acceptiva.
  • Process Purchase Authorizations and transfers for all programs weekly and biweekly.
  • In charge of keeping and logging HHY Vehicles and making sure that all the Vans are up to date in maintenance.
  • Ensure that the auto insurance for all the HHY vehicles is up to date and renewed as needed, which includes the Vans' registrations, emission notices, and transponders. Track Accidents and maintain records.
  • Keep track of the Vans Fuel systems and update the information as needed. Responsible for processing Maryland State Gas Cards for all agency vehicles and staff members from the programs that drive agency vehicles and all other paperwork involved with State Gas Cards.
  • Responsible for ensuring all documentation for renewing the Group Homes License and the Damamli/ILP programs.
  • Process Biweekly Petty Cash distribution, Youth allowance’s and manages and review group home monthly Recreation expense.
  • Maintaining all data entry for donations received from fundraising.
  • Responsible for updating the Agency Websites, newsletter, flyers, and social media sites.
  • Maintain the programs’ filing system to include:
  • State and County Contracts.
  • State and County Licensing Applications and other correspondence that pertain to licensing.
  • Maintains correspondence, forms, grants, program descriptions, resident handbooks, etc. for each program.
  • Responsible for setting up in-service training for the conference room.
  • Management of program vehicles to include maintaining a log of location, description, registration, and status of each vehicle.
  • Maintaining an accurate log of the Group homes' fire systems, such as Licensing and scheduling yearly equipment services.
  • Attends and schedules Board meetings with the CEO.
  • Assist with County and State re-licensing procedures.
  • Coordinate maintenance for all programs:
  • Serve as liaison between program requests for repairs and work orders to the maintenance contractor.
  • Keep an organized log of maintenance work that is completed at all programs.
  • Review and process bills from Maintenance Contractors.
  • Responsible and keeping records of the agency's inventory accounts, such as telephone and Internet suppliers.
  • Coordinate HHY events and assist with the holiday gift drives and donations
  • Purchase and replenish office supplies and equipment for the programs.
  • Monitors the office's main lobby and assists all visitors.
  • Provides support as part of the Main Office administrative support team.
  • Other duties as assigned.
