HealthCare Employer is Hiring an Executive Assistant to CEO Near Milford, CT

Small company seeking for a person that will act in a supporting role to assist president and other members of the management team. This position requires an organized, detailed oriented person with prior administrative and personal assistant experience a plus. Person must be flexible and adaptable to quick change in schedules, must be able to multi-task, manage ongoing projects, and ability to switch responsibilities due to various demands through out the day.

Job Responsibilities include but not limited:

  • Coordinate travel arrangements
  • Ordering office supplies
  • Assist with event planning, daily tasks and special projects as requested
  • Process monthly billing for personal and business invoices
  • Expense reports and reconciliation of accounts
  • Complete a variety of personal errands and make household purchases
  • Manage and schedule all necessary appointments, maintenance and other vendors
  • Print and respond to and initiate professional and personal correspondence, including phone calls email, letters, and face-to-face communication
  • Research issues, correct and find solutions.
  • Complete a variety of personal and miscellaneous tasks including dry cleaning, run errands, shopping, etc
  • Organize and sustain the business/personal filing system, filing correspondence, and other records
  • Manage time effectively to meet and exceed deadlines to ensure availability for additional projects.
  • Follow-up and ongoing communication via email with projects and task list
  • Review and summarize all high profile and highly confidential documentation
  • Oversee cleaning staff to ensure responsibilities are met

Requirements of the Executive Assistant/Personal Assistant:

  • 3-7 years’ experience supporting an Executive of a comparable level.
  • Proficient computer skills required, including Microsoft Outlook and Microsoft Office, especially WORD and Excel, Mac OS environment.
  • Outstanding written and oral communication skills with the ability to be very concise.
  • Superior organizational skills with strong attention to detail.
  • Excellent interpersonal skills with the ability to work in a fast-paced, dynamic, and sometimes demanding environment.
  • Highly flexible, proactive, adaptive, and responsive
  • Incredibly discreet with the ability to handle all matters in a confidential manner.

Required education:

  • Associate Degree in Business Management or similar.

Required experience:

  • Administrative Assistant: 2 years
  • Personal Assistant: 2 years
