Job Duties/Scope Of WorkJOB SUMMARY:
Mission Assurance requires a highly motivated individual to assist the Vice President and Deputy Vice President. The organization has staff at multiple locations across the Hanford site, as well several locations in-town. Communication in a timely manner is crucial to ensuring the Mission Assurance team can successfully lead HMIS integration and implementation. Additionally, the responsibilities and number of contract deliverables for Environmental, Safety & Health, Radiation Protection & Site Services, and our Performance Oversite/QA organizations continue to expand, with support services being requested by the other site entities.
This position provides project support to the Mission Assurance organization under the Hanford Mission Essential Services Contract. The successful candidate will be responsible for assisting in the planning, organization, and performance of specialized duties, in support of scheduled tasks to achieve successful completion of project goals and/or deliverables.
Essential job duties of this position include:
- Under general supervision, assist with planning, expediting, organizing, implementation and performance of technical, financial, and administrative duties in support of scheduled tasks, in order to complete project goals and deliverables such as:
- Develop detailed work plans for Mission Assurance, including reference materials, project-specific workscope, tasks, deliverables, schedules and basis of estimates.
- Coordinate and develop organizational items such as Employee Essentials/Manager Essentials presentations, Mission Assurance presentations, fact sheets, educational communications and story boards for Environmental, Safety & Health, Radiological Services, and Performance Oversight.
- Coordinate detailed work planning and act as a project support leader for limited operational or administrative/financial project activities within Mission Assurance.
- Serve as the point of contact and liaison for activities within the scope of the project or Mission Assurance, maintaining contact and interface with customers as well as other work groups and departments.
- Develop relationships with tribal members, representatives and trustees.
- Work with confidential information pertaining to tribes, trustees, and employees.
- Prior to project implementation, coordinate field walk downs to establish/verify as-is condition as required to successfully complete the project work activities.
- Coordinate with the assigned staffing representative, as required, to assist in the development of recruiting materials needed to market specific positions requiring unique/diverse expertise.
- Work with Mission Assurance management to develop and maintain a multi-year strategic resource plan needed for project planning, and integrate into the Mission Assurance recruitment plan.
- Maintain an awareness of scheduled project work and request the resources, materials and paperwork necessary to meet task readiness. Coordinate field work through to completion under close supervision.
- Assist Mission Assurance management in monitoring budgets and funding requirements for specific projects and activities.
- Assist Mission Assurance management in monitoring of project timelines, expenditures and activities.
- Maintain knowledge of ISMS work steps (Scope, Analyze Hazards, Identify Controls, Perform Work, and Feedback). Stay current on changing work practices and policies.
- Review and escalate documents necessary to expedite work prior to submitting for approval including design packages, field implementation packages, new operating procedures, and associated training.
- May assist in business case development and integrating project schedule activities into efficiencies for Mission Assurance programs.
Other job duties of this position include:
- Assist with planning, expediting, organizing, implementation and performance of technical, financial, and VPP/ISMS duties in support of Mission Assurance tasks to complete project goals and deliverables.
- Oversee and update the Mission Assurance Website, as needed.
- Upon request, provide consultation and expertise to assist management in planning and executing communication-related programs.
- Work with Mission Assurance management to disseminate messages and media through the use of publications, videos, news releases, etc.
- Develop additional communication-related programs/projects for the organization and company partnering events or opportunities for communications.
- Develop ideas and overall concepts for efficiencies, integration, and production of educational and communications projects.
- May develop or assist Mission Assurance management during the development of formal presentations.
Basic Qualifications* This position requires a minimum of a bachelor's degree plus three years of related experience - OR - an equivalent combination of education and experience.
- Ability to rapidly locate and review procedures, policies, and other information.
- Knowledge of media production, communication, and dissemination techniques and methods. This includes alternative ways to inform via written, oral, and visual media.
- Knowledge of procedures and systems such as word processing (Microsoft Word, Excel, PowerPoint, etc.), designing forms, and other office procedures and terminology.
- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Desired Qualifications* Experience and education requirements may vary significantly depending on the unique needs of the job.
- Communications, Media, Psychology, Social Work, Human Resources, Marketing, Retail and/or sales all of which require a high level of communication would be areas of high desire.
