Administrative Assistant :
H-Town CDL Academy
Under the general direction of the Training Department Manager of a campus, the Administrative
Assistant works closely with the staff and state by supporting and performing a variety of highly confidential administrative duties within the training school as well as support office and traveling personnel. Also, calls for flexibility, excellent interpersonal skills, and the ability to work harmoniously with all levels of internal management and staff, as well as outside clients.
CLASS CHARACTERISTICS:
Work is performed under the general direction of the training school Administrative Office
Manager. Position requires schedule, confidentiality, and dress code adherence. This position requires an employee or prospective employee grant permission to do a background check.
Key Duties: (Not inclusive and may vary with individual assignment)
1. Answers and screens telephone calls; documents messages accurately and routes messages in a timely manner to the appropriate director, manager, office personnel, facility and/or department.
2. Responsible for ordering supplies (office supplies/snacks/drinks, etc.) and keeping all items organized.
3. Check mail daily; prepare mail (USPS) and office UPS/FedEx packages for shipment.
4. Responsible for daily, weekly, and monthly training requirements. Ensures vehicle maintenance documentation is collected, scanned, saved, and filed in a timely manner.
5. Responsible for submitting monthly reports – facility driver list, odometer and equipment report and monthly accident report.
6. Managing/documenting processes and procedures; ability to analyze information and report findings.
7. Establishes and maintains effective working relations with a wide spectrum of employees, officials, and the public.
8. Promotes and demonstrates appropriate respect for cultural diversity among coworkers and all work-related contacts.
9. Assist, when appropriate, in preparation and drafting of documents, spreadsheets and presentations.
10. Communicate necessary information regularly to students and colleagues regarding student progress and student needs.
11. Attend various job fairs
12. Performs other duties as assigned by supervisor or management.
EDUCATION AND EXPERIENCE:
A high school diploma or GED and a minimum of 3 years administrative support experience and/or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above.
LICENSES:
Person(s) hired into this class may be required to either possess at entry or obtain within specified time limits designated driver licenses. Must possess and maintain a valid class C license and a satisfactory driving record.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS:
Must possess mobility to work in a standard office setting, as well as an outside environment, that could include extreme hot and cold temperatures and to use standard office equipment, including a computer, and to attend meetings at various sites within and away from the office; strength to lift and carry materials weighing up to 20 pounds.
