Grunley is looking for a personable, proactive, solutions-oriented Front Desk Assistant that will play a vital role and serve as the company’s first point of contact with clients, subcontractors, vendors, employees, and the general public and as such provides a critical public relations service. The Front Desk Assistant is responsible for answering all incoming phone calls, referring inquiries, greeting visitors, receiving, and dispatching parcels and providing general clerical support.
This position reports to the Office Manager/Operations Administrator (OM/OA)
Answering Phone Calls: Warmly answer, screen, and transfer all phone calls timely and accurately; understand each department's role and responsibilities to successfully get the caller to the relevant individuals or departments; take accurate messages when required and ensure they reach the intended recipients in a timely manner; check voicemail regularly; respond to public inquiries or concerns with respect, discretion, and confidentiality.
Incoming/Outgoing Mail: Receive all incoming and outgoing mail; open, review, sort and date stamp all USPS, FedEx, UPS and courier deliveries; notify department liaisons about incoming packages for pick up; and help manage field mail for incoming and outgoing packages to numerous jobsites. Review incoming faxes and disperse to relevant individuals or departments.
Clerical Tasks: Assist with scanning, naming and digitalizing files, assist the OA/OM in gathering credit card charges monthly; assist in setting up meetings and events as needed; assist in collecting and analyzing data, updating spreadsheets, and preparing documents in support of projects and archiving; follow Bid Day procedures and communicate to administrative staff any bid day specific instructions given by the Estimating Department.
Front Desk Upkeep: Keep the reception area clean, organized, and well-maintained; stock and maintain office supplies at desk; report any maintenance and repairs concerns to OM/OA.
Perform other related duties as assigned in support of the Administrative Department and construction projects.
Must be proficient in Microsoft Office (Outlook, Excel, and Word), copiers and printers, and multi-line phone systems.
Knowledge, Skills & Abilities:
Must have a minimum of two (2) years of Receptionist/Front Desk or customer service experience.
Must be a U.S. Citizen.
