Position Summary:
Assist all, with World Class customer service to those who contact the Greater Williamsburg Chamber of Commerce for information either in person or by telephone. Answer and direct all incoming phone calls to the correct person. Maintain the lobby area in a neat and orderly fashion-ensuring brochure displays are well, stocked. Provide support to other departments, and staff as necessary.
Administrative Responsibilities:
Respond to visitor telephone and electronic inquiries. Assist visitors requiring tourism information and assistance in the Chamber office
Manage lobby brochure racks, notify members when respective brochure stock runs low, and ensure that all brochures displayed, are Chamber members. Maintain brochure racks in a neat and organized manner. Maintain lobby monitors
Coordinate the member art display in the lobby area, send contracts, and maintain the schedule of artists
Process and sell WARA Gift Certificates
Support the SCORE as required and monitor event scheduling in conference room
Distribute mail and send to various departments
Create and maintain a master online calendar for all conference meeting rooms. Coordinate large conference room with various meetings as necessary with members, Chamber meetings and appointments and Visit Williamsburg meetings and appointments; set up and clean up conference room between meetings
Maintain a clean and organized front desk and lobby
At the conclusion of each work day, secure the building by ensuring that all external and internal doors with lobby access are closed and first floor lights are off
Member Services Responsibilities:
Support Director of Membership with Chamber member inquiries, processing accounts receivables, member connections and overall membership record maintenance in database; name tag preparation for events
Attend committee meetings as necessary; attend various Chamber events and provide additional administrative support as needed
Provide general office management support and oversight
Other Duties as assigned
