Job Description

Job Title: Facilities Operation Assistant

Division: Facility Maintenance

Department: Occupancy

Reports To: Director of Facilities & Risk Management

FLSA Status: Non-Exempt

SUMMARY

Assists the Director of Facilities and Risk Management in various duties to support the entire organization.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Assists the Facilities Director in coordinating repairs, fabrication and administrative duties for the organization.

Assists in planning and coordinating all maintenance related projects and refurbishments.

Manage the upkeep of equipment and supplies to meet health and safety standards.

Meet with vendors and contractors inspect facility issues to determine the need for repairs or renovations.

Manage and update admin files and records in compliance with CARF, OSHA and GIH policy.

Assist maintenance team as needed with all related maintenance projects and be able to carry 50 lbs, stand, kneel, squat, climb a ladder and push bins exceeding 100 lbs.

Control activities like camera and alarm systems, fire suppression systems, building security etc.

Allocate building alarm codes as needed.

Handle after hour calls from Alarm Monitoring Centers, HPD and GIH personnel.

Be able to respond to after hour site visits in emergencies, damage to facilities, burglaries, trespasses and other after hour calls as needed.

Keep financial and non-financial records in safe record keeping at all times.

Perform data entry and file management.

Consistently keeps Management updated on projects and tasks.

Works in a safe and responsible manner and complies with safety standards.

Understands use of P.P.E. (Personal Protective Equipment) & required to wear safety shoes/boots at all times. Work shoes with a removable steel toe cover are acceptable.

Conducts work in a safe and responsible manner, utilizing protective clothing and/or equipment and compiles with all safety standards.

Provides assigned job status updates and reports delays as soon as known. Provides weekly update on pending jobs and completion date on finished jobs.

SUPERVISORY RESPONSIBILITES

This job has no supervisory responsibilities.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

High School degree or equivalent. Prior experience in operations, maintenance specialist or in administrative facilities support preferred.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. Excellent verbal and communication skills.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to think analytically, multi-task and think strategically.

CERTIFICATES, LICENSES, REGISTRATIONS

Certificate of course/technical training completion. Must have a valid driver’s license and traffic abstract that meet’s company guidelines. Access to an insured vehicle with current safety and registration.

While performing the duties of this job, the employee is regularly required to see, hear, and talk. The employee must be able to stand/walk for several hours at a time. The employee is required to use hands to finger, handle, and feel. The employee is required to reach with hands and arms, climb or balance, stoop, kneel, crouch, or crawl, and smell. The employee must frequently lift up to 50lbs and maneuver wheeled containers weighing up to 300 pounds.
