SUMMARY Responsible for performing under general supervision the functions of: entering data into the computer systems from both customers and sales personnel (via emails or telephone), preparing reporting for Production, Shipping and Transportation Departments to help ensure customers receive accurate orders/billing, to check-in customer invoices assisting Accounting Department in receiving proper payments. RESPONSIBILITIES AND ESSENTIAL TASKSAssembles sales order information from customers and sales personnel to enter into the computer systems (SAP/OMT).Assembles, adds and cuts information and enters into the computer according to established procedures, adhering to cut off times.Generates a Production Report (Bake) listing accurate information on what varieties to make by quantity for each production day. Creates/distributes production planner and wrap instructions for production.Prepares orders (PO’s) to outside bakeries for the necessary items to fill orders.Receives information from sales and/or shipping for entering into the computer as either order or billing adjustments.Creates invoices to help ensure customers are properly billed.Checks-in invoices to help ensure proper payment from customers. Serves as backup to receptionist and job tasks associated with this role when required.Covers Product Overflow Manager Responsibilities when required.Performs all other related assignments and training of other employees, as requested.Does not change job procedures without authorization from the Sales Office Supervisor. Ten key calculator skills needed. Ability to/or previous experience interacting with SAP to run required jobs, key in orders, and run bakes is preferred. Work ExperiencePast experience in a call center setting providing sales support, problem resolution, and customer care is preferred. Must possess good and accurate typing skills, including numerical data. Analytical AbilityStrong analytical ability is required to proofread figures and to diagnose and correct errors. Independent Judgment and Consequence of ErrorsRoutine work performed under general supervision or in accordance with specific procedures. Unusual situations/errors of large amounts of money are referred to Supervisor. Errors could cause problems and result in inaccurate payments or errors in bookkeeping but are usually quickly detected and are corrected with little loss of time, money or customer good will. Contact with OthersOccasional contact with other employees in Sales Department or office functions to process, verify and correct payment data. Frequent contact with customers to discuss status of statements or any additional information or documents needed for payment. Work of OthersNot responsible for the work of others. WORK SCHEDULE Work schedule is as determined by Supervisor PHYSICAL AND MENTAL REQUIREMENTS Mostly Sedentary Work: Sedentary work involved sitting most of the time. Infrequently required to lift boxes of documents of 40-50 pounds and to climb to reach 6.54 to handle bakery products on transports. Must be capable of exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Mental and visual ability of clerical, administrative, computer data entry and product coding. Performs repetitive tasks following simple instructions. Minimum visual standard for those preparing and analyzing data and figures such as a computer terminal, extensive reading and visual inspection. Must be able to do basic math calculations to count, add, subtract, multiply and divide.Capable of moving up and down building stairway in multi-level plant to reach job assignments and perform tasks required in the office process. Tasks require walking, fingering, feeling, talking, hearing and repetitive motions of the wrists, hands and/or fingers.Capable of understanding simple instructions and reading notices and schedules as posted on the bulletin board. Read and understand company forms and documents for basic accounting functions.Worker subject to working inside, protected from weather conditions. Normal office environment where there is no physical discomfort due to temperature, noise, dust and the like. Normal lighting. Occasional exposure to plant facility in which case hearing protection would be required and worker may be subjected to temperatures above 100 degrees.Must be able to work courteously and effectively with others, and to assist co-workers as required.
