Job Description: Front Desk Administrative Assistant

Position Overview: We are seeking a competent and organized Front Desk Administrative Assistant to join our team. The primary responsibilities of this role include managing front desk operations, handling incoming and outgoing communications, supporting office personnel, and maintaining organized office systems. Proficiency in Microsoft Word and Excel is essential for this position.

Responsibilities:

  1. Front Desk Operations:
    • Greet visitors and direct them to the appropriate person or department.
    • Answer and direct phone calls in a professional manner.
    • Manage incoming and outgoing mail and packages.
    • Maintain a clean and organized office.
  2. Administrative Support:
    • Assist office personnel with administrative tasks as needed.
    • Order office supplies and maintain inventory levels.
    • Prepare and modify documents using Microsoft Word and Excel.
  3. Shipping and Receiving:
    • Receive, log, and distribute incoming shipments.
    • Prepare outgoing shipments and ensure accurate documentation.
    • Coordinate with shipping carriers to schedule pickups and deliveries.
  4. CRM Management:
    • Maintain and update customer relationship management (CRM) systems.
    • Organize and manage CRM boards to track leads, contacts, and tasks.

Office Organization:

    • Open and Close office doors upon arrival and at the end of the day,
    • Organize office space and maintain a tidy and functional workspace.
    • Ensure office equipment is in working order and arrange for repairs or replacements when necessary.

Qualifications:

  • High school diploma or equivalent; additional certification or training in office administration is a plus.
  • Proven experience in an administrative role or similar position.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in work.
  • Ability to work independently and as part of a team.
  • Prior experience with CRM systems is preferred but not required.

Work Schedule: This position is full-time, working Monday through Friday from 8:00 AM to 4:00 PM.
