Gill-Montague Regional School District is Hiring an Administrative Assistant- Hillcrest Elementary School Near Turners Falls, MA

The administrative assistant (AA) provides the first point of contact to staff, students, parents and other members of the community who come to the school. S/he sets a tone of service and respectfulness for the office and those served by the school. Working closely with the school administration, the AA manages the office, organizes information which comes through the office, manages the information systems, prepares materials for faculty, parents and students, makes decisions as appropriate, performs the office tasks that must be done on a daily basis, and demonstrates initiative in improving practices. The AA possesses excellent communication, organizational, and problem-solving skills, is able to multi-task, and does all with hope, humor and goodwill.1.Welcomes the public and staff members to the school by telephone and in person, recognizing that s/he serves as the first point of contact for the school.

2.Understands the functions of all staff in the building and directs inquiries accordingly.

3.Retrieves, responds to and/or redirects telephone calls, email, and voice mail messages as appropriate. Decides which calls to handle independently and proceeds effectively.

4.Manages complaints effectively, assessing when the administrator's direct involvement is needed and when the caller will accept a delay, call-back, or referral to another faculty member.

5.Determines when a crisis has emerged that requires the administrator's direct involvement. Receives and communicates information accurately and calmly.

6.Monitors all school accounts. Works closely with the administrator in ensuring that these accounts are within budget.

7.Generates, collects and organizes all purchase orders, packing slips and invoices for processing by the business office.

8.Keeps an inventory of supplies; purchases office and other supplies shared by the school staff.

9.Prepares materials and communications for the various constituencies served by the school office. Serves as a source person for faculty, students and parents concerning school business, scheduling and other concerns.

10.Maintains an effective electronic and paper filing system that ensures timely retrieval of all relevant information related to staff attendance including personal days, sick days, and professional days and reports information as required by central office.

12.Works with students in their interactions with the office, providing them with the necessary materials and assistance in a variety of areas.

13.Prepares and/or formats correspondence, agendas, and documents as appropriate. Uses technology effectively to prepare report presentations and public relations materials for the administrator.

14. Is responsible for general maintenance and upkeep of office equipment.

15. Exercises discretion and observes confidentiality in all personnel matters and sensitive issues.

16.Sorts mail on a daily basis and routes material not requiring the administrator's attention. Composes responses to routine correspondence as requested by the administrator.

17.Participates in ongoing training and professional development activities and is willing and able to assist other secretaries when necessary.

18.Organizes school-wide assemblies throughout the year, notifying the appropriate people, typing certificates, and ordering awards.

19.Prepares and mails out correspondences as necessary, including monthly newsletters, letters to parents, and summer mailings to students.

20.Coordinates grade reporting by collecting and mailing out interim progress reports and report cards and entering grades and other data into the computer.

21.Attends to parent requests such as; delivering messages, delivering articles, and gathering homework assignments for absent students.

22. Performs other related duties specific to the school as directed by the administrator.

23.Is flexible and able and willing to accommodate changes necessitated by evolving needs.
