GAP Solutions, Inc. is Hiring a Training Program Coordinator Near Bethesda, MD

Position Objective: Provide services as a Training Program Coordinator in support of the overall functions of the National Human Genome Research Institute (NHGRI) within the National Institutes of Health (NIH). The National Human Genome Research Institute (NHGRI) is a leading authority in the field of genomics. The NHGRI intramural program performs research at the intersection of basic, translational, clinical, behavioral, and social sciences. NHGRI is committed to training a diverse genomics workforce and supporting research that reduces health disparities and fosters health equity. Under this task order, the Training Program Coordinator will work in the NHGRI Intramural Training Office (ITO), providing scientific career development and administrative services, in support of a robust training experience in genomics sciences for trainees in the intramural program.

Duties and Responsibilities:

  • Develop and implement high-quality programing and training experiences for NHGRI trainees at all training levels (postbaccalaureate, predoctoral, postdoctoral and summer intern).
  • Identify and implement strategies to support pathways in genomics careers with the goal of increasing the retention of underrepresented trainees.
  • Serve as the point of contact for the Summer Internship Program, taking lead responsibility for addressing inquiries, application support, lab assignments, student acceptances, orientations, summer curriculum and exit surveys.
  • Assist with writing, preparation and editing of the Intramural Training Office weekly email.
  • Serve on relevant NIH and NHGRI committees focused on enhancing the training experience, enhancing workforce diversity, and fostering an inclusive workplace climate.
  • Prepare travel for all ITO staff. Schedule general ITO meetings ITO Records Custodian.
  • Grant RTO database access to NIH mentors and admin staff.
  • Reply to emails from 3 shared ITO office email inboxes/inquiries from prospective trainees Enter purchase orders into online POTS system.
  • Solicit quotes and invoices from vendors.
  • Manage/renew ITO paid subscriptions (Survey Monkey, Mentimeter, NPA).
  • Ensure appropriate documentation and orientation for visiting students, resident and fellows rotating as trainees at NIH.
  • Receive, review and enter applications into the database,; record pertinent applicant information; set up applicant files; prepare official correspondence to applicants and universities; prepare notification letters to applicants.
  • Prepare correspondence, reports and other written material.
  • Analyze and present selected program data to Branch and Center management staff.
  • Accept postbac summer students from OITE RTO database/sending formal acceptance email. 5
  • Coordinate with ITB to set up summer student accounts.
  • Track mandatory laboratory safety training for summer students.
  • Research resources, services, policies and regulations and inform the staff and fellows about all changes in policies and procedures impacting fellowship training and education within the specialty. 4
  • Provide support and assist in promoting diversity and inclusion at all training levels; develop and implement recruitment strategies for reaching wide audiences.
  • Assist faculty with posting postdoc vacancies on OITE website and Genome.gov.
  • Work with staff on advertising for fellows by posting on the Institute website, LinkedIn and Twitter Produce and disseminate program recruiting information.
  • Prepare promotional materials for meeting exhibits and presentations, special and other events.
  • Travel to national scientific conferences for the marketing of, and recruitment to the NHGRI intramural training program (e.g. American Society of Human Genetics, ABRCMS, SACNAS). 3
  • In collaboration with the NHGRI Office of Communication, assist in the development of ITO communication products including marketing materials (digital and printed), updates to program webpages and social media announcements. 1
  • Prepare promotional materials for meeting exhibits and presentations, special events and other events. 2
  • Tracking trainee compliance to include Responsible Conduct of Research (RCR) 6-hour course and Annual Research Ethics training.
  • Trainee onboarding: Managing ITO listservs Registration/scheduling trainees: Orientations and Exit Interviews
  • Special event planning support (Trainee Retreat, Postbac Welcome Event, Summer Poster Session) Work with staff to provide support for oversight and review of the fellowship program.
  • Keep track of summer students after leaving program to capture their career progression.
  • Represent the training program to internal and external audiences through the application of effective and professional communication skills (oral and written).
  • Assist in the preparation of programs sponsored by the Office to assist potential and future individuals who are interested in pursuing a biomedical career.
  • Identify relevant career fairs at Public Health schools, professional conferences, and other venues for staff to attend, serving as primary point of contact between the Institute and representative at school or other venue, and coordinating delivery of promotional materials and traveling exhibit to these events.
  • Coordinate with the NIH program office during recruiting and selection of program applicants.
  • Conduct mandatory orientations for new trainees, ensuring that information is shared about policies related to their appointments, required training and available career development and wellness resources available at NHGRI and the NIH
  • Conduct exit interviews with NHGRI trainees at all training levels; assemble annual reports based on these data (qualitative and quantitative) to inform programmatic changes.
  • Collaborate with internal NHGRI offices (e.g. Education and Community Involvement Branch, Division of Extramural Operations, Office of Communications) and external NIH offices (e.g. Office of Intramural Training and Education) in support of initiatives that enhance the NHGRI training experience.
  • Assist in the coordination of the ITO grant-writing support program, including organizing/scheduling the annual workshop series, providing orientations and guidance to postdoctoral applicants, and collaborating with partnering institutes.
  • Work with staff on planning, organizing and executing meetings, conferences and teleconferences. Educate trainees about further opportunities available to them at NIH and elsewhere.
  • Assemble material for workshops, retreats and courses.
  • Work with staff to facilitate, coordinate and attend regularly occurring training events.
  • Organize and support all fellowship program meetings, faculty meetings and meetings with and for fellows; prepare all minutes and other required documents serving as records and action plans resulting from program.
  • Meet with lab members to present updates - Weekly
  • Work products and documents related to duties and responsibilities. - Daily
  • Status reports on a weekly basis to assess progress, or more often as requested by Task Leader. - Weekly
  • Monthly written reports to include identification of projects completed; progress of ongoing activities; and any problems identified. - Monthly

Basic Qualifications:

  • Master’s degree in biological sciences or related discipline.
  • Two (2) years of specialized experience.
  • Skilled in Microsoft Excel (workbooks/spreadsheets), Microsoft Outlook, Microsoft Word, and Microsoft PowerPoint.

Minimum Qualifications:

  • Excellent writing and grammatical/editing skills; experience in scientific writing preferred.
  • Ability to use database and statistical analysis software to generate program analyses and reports.
  • Ability to contribute to the design, development, implementation, and evaluation of an outreach/recruitment program targeted at underrepresented groups in the sciences.
  • Ability to provide guidance and policy interpretations to program staff and make recommendations to improve the office operations.
  • Ability to plan and contribute to the planning of career development programming.
  • Comprehensive understanding of biomedical research careers and the training required to be successful in a research laboratory setting, including how to organize and execute experiments, interpret data, and present findings to scientific and broad audiences.
  • Ability to multi-task and pay close attention to detail.
  • Excellent analytical, organizational and time management skills.
  • Strong communication skills, both oral and written as well as presentation skills.
