Responsibilities.

  • Serve as Summer and Student Program Specialist; primary contact and taking lead responsibility for trainees including being the primary resource for the on-boarding process, preparing and presenting NIAID orientations, sharing training opportunities, and providing progress updates. 
  • Establish, execute, and evaluate summer curriculum; includes collaborating with Postbac Program Coordinator on existing summer programming available for all trainees.
  • Collaborate, assist, and support all training programs throughout summer and at other times of the year; serve as a resource for on-boarding process, preparing and presenting orientations, and sharing training opportunities at all levels. 
  • Collaborate, assist, and support postbaccalaureate training programs; assist with on-boarding process, preparing and presenting NIAID orientations, graduate/medical school application review and feedback, and general intern progress updates. 
  • Provide support for Postbac Program Coordinator throughout the year by assisting with trainee writing feedback and general postbac career support 
  • Develop, establish, coordinate, and assist with intramural recruitment and training opportunities including post-docs, post-bacs, undergraduate, summer, and academic trainees. 
  • Provide support and assist in promoting diversity and inclusion within all training programs; develop and implement strategies for reaching wider audiences. 
  • Coordinate and assist with logistics, marketing, event announcements, and assist with recruiting for NIAID Training Programs 
  • Educate trainees about further opportunities available to them both within and outside the NIH. 
  • Ensure compliance with all mandatory ethics training requirements; provide training, track attendance, and report outcomes. 
  • Maintain up-to-date knowledge and understanding of NIH IRTA polices and guidelines including subprograms, resources, and supplemental support 
  • Research current trends in training and education; remain current on topics associated with biomedical training and career development. 
  • Apply standards and metrics to evaluate programs; provide formal and informal reports on success and areas for improvement. 
  • Utilize data reporting software to prepare and present visualizations of program metrics. 
  • Maintain and update database of all Intramural Research Training Fellowship Awards track alumni, awards, recognitions, publications, meetings, and grants, and career transitions.
  • Assist in compiling and maintaining a mailing distribution list for fellows within the Institute. 
  • Assist with writing, preparation, compilation, and distribution of program newsletters; provide highlights for summer intern and academic IRTA programs. 
  • Develop, establish, coordinate, and manage specialized programs in collaboration with the training office to meet the training and career development needs of trainees.
  • Assist in selection, coordination, and scheduling of guest speakers and panelists to provide hands-on training and skills workshops for trainees. 
  • Provide a range of administrative and technical functions related to outreach activities and programs for training and education in biomedical research; schedule appointments and meetings, arrange speakers, plan and organize conferences and teleconferences; send out invitations, track responses, conduct surveys, and prepare reports. 
  • Assist with scheduling of meetings; prepare agendas and issue briefs; assist on special projects related to intramural training. 
  • Review, research, and comply with all NIH policies including but not limited to privacy policy, data security, PII, and procurement. 
  • Develop educational and professional materials to assist fellows throughout their training programs. 
  • Assist and collaborate on updates and revisions to website and social media accounts; ensure accurate display and announcement of program material and events. 
  • Work with the logistical contractor in preparation for meetings, events, and seminars.
  • Assist in the preparation of background and briefing materials; coordinate the collection and assembly of such materials; research various sources of information to include various subject matter and correspondence files; conduct Internet searches; contact outside offices and individuals to locate appropriate information relevant to a specific activity. 
  • Review correspondence for accuracy, completeness, grammar, and conformance; write letters of response, announcements, newsletters, campus publications, and informational reports per requests. 
  • Establish and/or maintain appropriate databases of correspondence, reports, reference materials, and publications. 
  • Prepare reports in response to requests from NIAID Divisions, NIH IC’s, other agencies (such as NSF), and Congress. 

Qualifications:

  • Bachelor’s degree in a related discipline; Graduate degree preferred 
  • Minimum three (3) years of related experience working with postbaccalaureate, undergraduate, and high school students; experience working with graduate and postdoctoral level trainees is preferred; expertise in development of specialized training programs catered to training level 
  • Demonstrated experience with planning, implementing, and evaluating large-scale programs and events, preferably within a college or University setting 
  • Exemplary writing, grammatical/editing, analytical, and data management skills; scientific writing preferred. 
  • Expertise in Microsoft Products – Office suite, Bookings, Teams 
  • Flexible individual who is looking for a challenging position

  • Excellent organizational and time management skills: ability to independently manage a variety of projects with frequent interruptions and shifting priorities to organize a continuous flow of work in a timely manner and meet mandatory deadlines

  • Dedication to student programs with enthusiasm and energy for working with trainees 
  • Detail oriented with strong analytical skills and excellent customer service skills

Must be able to favorably represent the program to internal and external stakeholders through the application of effective and professional communication skills (oral and written) 
  • Training in expository writing for professional publications with demonstrated outstanding verbal and written communication skills.
