Team or Function Overview The Operations Assistant is responsible for assisting and supporting projects, activities, and daily initiatives for the Fontana, CA Facility. The Operations Assistant should thrive under pressure, be a team player, and a strong communicator. The person selected for this role should be adaptable and have the ability to execute multiple tasks and assignments with limited direction by the assigned deadlines. This position will report directly to the Plant Manager. Essential Duties Specific responsibilities include, but are not limited to: Coordinate meetings, luncheons, events, plant tours, etc. Assist with maintaining employee personnel files Data entry and tracking of safety activities, training, attendance, etc. Order equipment/office supplies Plan employee appreciation, safety lunches, site celebrations, etc. Schedule and track various safety and compliance trainings Assist with facilitation of pulse surveys Assist with recruiting initiatives and new hire onboarding Assist with job postings and bid process Submit tickets for employee changes Assist with the Community Engagement Efforts for the Plant Create presentations, spreadsheets, flyers, documents and assist with positing internal communications via GAF Link, email, and physical postings Spend time in plants communicating and developing relationships with employees and responding to inquiries Connect employees with various company resources (i.e. benefits, Workday, Payroll/ADP, etc.) Assist with coordination of pre employment physicals Prepares correspondence, maintains files, schedules meetings, prepares and issues minutes of meetings, and prepares special projects as assigned. Support Human Resources in hiring processes including applicant scheduling, record keeping, recruiting initiatives, and orientation scheduling Create presentations, spreadsheets, flyers, documents, etc. Provide the Operations Team with the needed support for meetings, internal committees, community engagement, and other plant initiatives. Ensure permits are filed for critical Safety Programs and 100% compliance Support Management on EHS action items assigned to production Coordinate site visits, plant tours, and training events, ensuring security and safety guidelines are communicated and followed Provide General Support to Managers, Production and Shipping Supervisors in developing presentations, postings, tracking JSO’s and updating JSA’s Manage employee monthly safety training enrollment, report compliance, and coordinate safety incentive program Respond to requests from customers (both internal and external) in a professional and timely manner Update internal plant communications as needed, including emails, safety statistics, Digital Communication Boards, bulletin boards, GAF Link, directional signage, safety updates, job postings, etc. Coordinate meeting space, meals, and supply requests for Plant Team events. Facilitate ordering and stocking of supplies in break rooms and around the facility. Coordinate mailings and reports to Corporate as requested. Maintain documents and required record-keeping for OFCCP, Management Practice Audit, employee training, plant meetings, and new hire orientations. Organize office tasks and simplify administrative duties to increase team efficiency Create and update plant performance graphs Contribute to positive community engagement by assisting with advertising, and company events. Perform other duties as assigned.
