**Job Overview:**
The Assistant to GM/Office Administrator is responsible for providing administrative support to ensure efficient operation of the operation. They will support managers and employees through a variety of tasks related to member support, organization and communication. The Assistant/Office Administrator is responsible for confidential and time-sensitive material. They must be capable of effectively communicating via phone and email, ensuring that all administrative assistant duties and member services are completed accurately and delivered with high quality and in a timely manner.
**Responsibilities and Duties:**
- Answer and direct phone calls, organize correspondence, and manage the flow of visitors.
- Provide full support to our members and assist with general inquiries
- Schedule and coordinate appointments, meetings, and events, including coordination of logistics, agendas, and attendees.
- Manage supplies stock and place orders as necessary.
- Perform data entry and maintenance of files and databases to ensure accurate and current information is available.
- Prepare and edit correspondence, reports, and presentations.
- Support booking procedures for the office
- Assist in the preparation of regularly scheduled reports.
- Develop and maintain a filing system, both electronic and physical.
- Handle sensitive information in a confidential manner.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
**Qualifications:**
- Proven experience as an office assistant, office administrator, or relevant service role.
- Excellent time management skills and ability to multitask and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Proficient in MS Office.
- A high school diploma; additional qualification as an administrative assistant or secretary will be a plus.
**Working Conditions:**
The Assistant/Office Administrator will work in an office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
**Physical Requirements:**
Must be able to sit and stand for extended periods, occasionally lift objects of light to moderate weight, and perform typical office tasks such as typing and phone communication.
**Pay Rate** - Starting pay is $22/hr or TBD
