Job Title: Accounting/Human Resources Coordinator

Reports To: Accounting Manager and Director of People and Culture

FLSA Status: Non-Exempt

Forsyth Country Club is a 111-year-old member owned Club located in Winston-Salem, NC, and is seeking a highly motivated individual to assist in general and administrative responsibilities in its Accounting and Human Resources departments. The Club is nestled on 172 acres of pristine rolling hills. FCC has gross receipts of $16.5MM. Facilities include:

  • 45,000 sq. ft. clubhouse includes recently remodeled casual dining and bar area; seating 200 inside with seasonal patio seating 150
  • Multiple banquet rooms renovated in 2022, including a ballroom that seats up to 330 people
  • Men’s and ladies’ locker rooms
  • 18-hole Donald Ross golf course
  • 11 outdoor tennis courts
  • 2 outdoor platform tennis courts
  • 4 permanent pickleball courts
  • 18,000 sq.ft. Pool and Fitness Pavilion including state of the art health and wellness center, pool kitchen area, locker room facilities, and laundry and clubhouse maintenance

The club is steeped in tradition and serves approximately 1,000 member families. Forsyth Country Club is recognized as a Distinguished Club by Board Room Magazine. The Club has a proven track record of providing professional development, internal growth and continued education for both professional and line level members of the team. Many of our current directors and managers have earned their current positions as a result of the club’s commitment to professional development.

Position Summary:

Assists with Human Resources functions related to recruitment and onboarding, payroll processing, employee relations, workers compensation, employment/labor laws and personnel administration; Responsible for overseeing member billing inquiries; Maintains office supply inventory

Essential Duties and Responsibilities:

  • Responds to member billing inquiries via email and phone call in a professional and timely manner
  • Posts billing adjustments/corrections to member's account (debt and credit entries)
  • Maintains a file and spreadsheet of member credits for CFO and COO to review at month end
  • Assists the Accounting Manager in processing the monthly member statements (printing, mailing/emailing)
  • Posts member payments to the correct member accounts daily
  • Assists Accounting Manager in the weekly bank run to deposit cash payments
  • Oversees the supply closet and ordering of office supplies across the Club
  • Ensures all employee records are handled with utmost confidentiality; maintains employee medical files and I9 forms, ensuring files are secured at all times while upholding HIPAA(1) regulations. Will perform sporadic audits, as directed by the Director of People and Culture
  • Creates and posts recruitment ads; screens applicants, calls references, assists with interviews and makes hiring recommendations
  • Orders pre-employment screenings such as drug testing and background checks within a timely manner and keeps track of expenses by department
  • Effective onboarding including first day orientations, processing new hires, processing E-Verify for Federal compliance in a timely manner to meet the needs of every department
  • With high proficiency in HRIS system, enters and maintains employee recordkeeping
  • Assists with ensuring time card accuracy and processing bi-weekly payroll
  • Assists with employee celebrations and other employee activities
  • Oversees all work-related injury claims to ensure integrity, on-going case management and reporting compliance
  • Responsible for FMLA & ADA paperwork to employees and communicates status to Department Head
  • Submits announcements and information to be added to the bi-monthly team member newsletter. Acts as a backup to create and publish team member newsletter
  • Maintains employee bulletin boards with updated materials such as OSHA form 300A, current Federal documentation/posters, employee recognitions, job postings, and special announcements
  • Completes employment and wage verifications in a timely manner
  • Interacts with all levels of the Club operation, from hourly associates to Department Heads
  • Participates in administrative staff meetings and attends other meetings and seminars as necessary
  • Completes special project tasks and administrative duties as needed or assigned by the Director of People and Culture or Accounting Manager

Education and/or Experience:

  • A Bachelor’s Degree from a four-year college or university is strongly preferred; but not required with commensurate experience
  • One to two years of general business or hospitality industry experience, preferable in a Human Resources or Accounting role

Job Knowledge, Core Competencies and Expectations:

  • General knowledge of applicable employment laws and practices
  • Prior experience in HRIS systems preferred
  • Excellent interpersonal skills
  • Able to exhibit a high level of confidentiality
  • Proficiency with Microsoft Office; specifically PowerPoint, Word, Excel and Publisher
  • Hospitality and/or club accounting experience is a plus
  • Strong interpersonal and communication skills, both written and verbal
  • Honest, trustworthy, with good judgment and sound decision-making skills, resolving problems in a timely manner, as confirmed in reference checking and interviewing.
  • Detail oriented with the ability to exercise good time management skills
  • Reliable with a track record of limited absenteeism
  • Knowledge of and ability to perform required role during emergency situations.

Physical Demands and Work Environment:

  • Must be able to reach, bend, stoop, stand and lift up to 40 pounds.
  • Must be able to sit for prolonged periods of time.
  • Moderate noise level in the work environment.

Salary & Benefits:

Job Type: Full-time

Pay: $27.00 - $30.00 per hour

Expected hours: 40 – 45 per week
