Summary The Office Assistant handles day-to-day operations with a focus on efficiency and time management. The Office Assistant is responsible for intra-office communications, streamlining administrative procedures and inventory control. Responsibilities Coordinate conference room scheduling Coordinate hotel partner visits and stocking conference rooms with needed items in coordination with Director of Hotel Network Providing information to supervisors, co-workers, and subordinates by telephone, in written form, e-mail, or in person Operate office equipment, such as fax machines, copiers, or phone systems Prepare reports as requested Performing day-to-day administrative tasks such as maintaining information files and processing paperwork Purchase of office supplies and furniture, office equipment, etc., for the entire staff in accordance with company purchasing policies and budgetary restrictions Supervises the maintenance and alteration of office areas and equipment, as well as layout, arrangement and housekeeping of office facilities Supervises the maintenance of office equipment, including copier, fax machine, etc. Participates as needed in special department projects As back up for front desk duties for outside vendors Responsibility for coordination of requests for returning of either from or to Underground Vaults and Storage as needed Perform other duties and tasks as assigned Qualifications At least two years of previous office management experience preferred Proficiency in Microsoft Office suite Requires excellent written and verbal communication skills Requires being reliable, responsible, and dependable, and fulfilling obligations Requires being careful about detail and thorough in completing work tasks Requires developing one's own ways of doing things, guiding oneself with little or no supervision, and depending on oneself to get things done Job requires being honest and ethical Requires the ability to occasionally lift office products and supplies, up to 20 pounds#LI-AG1
