RECEPTIONIST/OFFICE SERVICES ASSISTANT

Fennemore is seeking a full-time Receptionist/Office Services Assistant to join our team. This position is onsite in the Seattle office. The primary responsibilities of the Receptionist/Office Services Assistant include greeting visitors to the firm, answering and directing calls, and providing general office support for a variety of legal and administrative needs such as typing, copying, filing, errands and court runs.


Responsibilities:

  • Greeting clients and visitors to the firm, answering phones and directing calls as appropriate;
  • Filing and organizing legal documents and correspondence under the general direction of Office Manager/LAA, paralegals, and attorneys;
  • Types and revises handwritten materials including, but not limited to, pleadings, correspondence, memoranda, and other legal documents;
  • Proofreading all work product to ensure accuracy of spelling, grammar, and punctuation;
  • Preparing indexes, file backers, labels, electronic closing binders and trial/case notebooks;
  • Scheduling conference rooms and visitor rooms, notifying attorneys of visitors, and Office Manager/LAA of visiting attorneys using visitor offices or conference rooms;
  • Setup video conference equipment and conference rooms;
  • Filing/organization of files/file closing;
  • Copying, scanning, and binding jobs;
  • Running errands – e.g. purchase of snacks and coffee; assisting attorneys with delivering/retrieving trial exhibits to/from court; delivering after-hours mail to post office, etc.;
  • Coordinating completion of projects with other firm departments as needed;
  • Placing lunch orders for attorney and client meetings and accepting lunch deliveries, forwarding receipts to appropriate person(s) after noting billing information;
  • Maintaining appearance of lobby, kitchen, conference rooms, and other common areas;
  • Notifying staff and attorneys of hand deliveries to office;
  • Sorting incoming mail;
  • Sorts and distributes docket sheets sent to Receptionist’s copier from Phoenix;
  • Handles all file closures, including preparing closing checklists, completing closing process in firm records management system, and boxing files for off-site storage;
  • Preparing paperwork for hand deliveries, faxes, etc.;
  • Overtime may be required during periods of high workload, flexibility in daily work schedule is required;
  • Adheres to departmental/firm goals and policies; and
  • Other duties as assigned.

Requirements:

  • High School diploma required;
  • Minimum of 1 year legal office experience in related capacity preferred;
  • Strong attention to detail, sense of urgency, organizational skills, ability to multi-task (handle several jobs at one time – answer telephone, greet clients, maintain conference room reservation book);
  • Pleasant voice, positive attitude;
  • Working knowledge of Microsoft Office programs; and
  • Must have access to reliable transportation. If utilizing own vehicle for Firm Business, must have current and continuing proof of auto insurance and valid driver’s license.
