    Farmington Public Schools has an opening for an Administrative Assistant for Finance, Operations, and Benefits at Central Office. Position is full-year, full-time. Benefits include health insurance, $30,000 life insurance and accidental death and dismemberment policy, $30,000 long-term disability insurance, 3 personal days, 13 paid holidays, 15 sick days and vacation.
    Reports To: The Business Manager and is supervised and formally evaluated annually by the Assistant Superintendent of Finance and Operations
    Salary: Dependent upon education and experience.

    General Description: The administrative assistant for finance, operations and benefits performs general administrative duties in the business office under the direction of the Assistant Superintendent for Finance and Operations. This position is also responsible for the district’s benefits/insurance administration, as well as assisting in payroll processing.
    Qualities and Qualifications:
    Demonstrated working knowledge of customer service, administrative assistant skills, benefits and human resources practices, payroll, accounting procedures, and workers compensation. Knowledge should be supplemented by strong mathematical and technology use skills as well as enthusiasm and motivation. Individual should be able to demonstrate organizing, planning and completing work without continuous supervision. The emphasis on ability to make decisions and maintain an effective working relationship with other employees and the general public are critical to the success of this position.
    Strong oral and written communication skills are necessary to present information clearly and to communicate with a wide range of individuals in various positions. A solid knowledge of municipal budgetary processes and procedures is an asset but is not a requirement for this position. This position is also required to manage confidential information on a continuing basis.
    • Candidate should hold a bachelor's degree and/or formal training in a business program or a related field
    • Candidate must have work experience as an executive assistant, administrative assistant, office manager or similar experience
    • Candidate must demonstrate strong skills related to budget and accounts payable
    • Candidate should exhibit a high degree of professionalism and ability to work collaboratively with others
    • Consideration will be given to the following:
      • Five years or more of related experience
      • references that indicate the candidate possesses superior organizational skills.

      • evidence of various life and work experiences that contribute to the candidate’s overall sophistication and preparedness
    Duties and Responsibilities:
    The Administrative Assistant has the following duties listed below and other duties and responsibilities as shall be assigned by the Assistant Superintendent for Finance and Operations:
    • Performs secretarial and office administrative work for the Assistant Superintendent of Finance and Operations.
    • Plans and organizes work according to established or standard business office procedures
    • Prepares materials including press releases, collation of reports and typing and distribution of agendas as appropriate.
    • Coordinates employee and retiree benefit programs. Prepares and maintains employee information related to health benefits including enrollment, termination, COBRA, and Health Savings Account funding. Assists employees and retirees with questions and claim issues.
    • Manages 1095 ACA processing and distributes forms as required by federal guidelines.
    • Ensures that Plan Summaries adhere to union contracts and comply with federal mandates
    • Notifies employees and retirees of changes to benefit plans and premiums; includes monitoring active employee contributions and retiree premium payments.
    • Bills, collects, and deposits insurance premiums from retirees and maintains records of payments in Infinitevisions.
    • Prepares a monthly insurance report for the Board of Education purposes and monitors the district’s insurance reserve.
    • Assists in the development of insurance budget figures with guidance from the district’s insurance consultant.
    • Handles all aspects of life insurance and long term disability enrollments, billings, and claims.
    • Processes workers compensation claims and coordinates with payroll.
    • Manage Retiree Drug Subsidy program (creating annual application and requesting reimbursement).
    • Cross train as backup to Payroll. Duties to include timesheet processing bi-weekly, employee data entry, background check processing, employee file maintenance.
    • Maintains employee confidence and protects payroll and benefit operations by keeping information confidential.
    • Other duties and responsibilities as assigned by the Business Manager and/or Assistant Superintendent of Finance and Operations.
