Falck NorthWest is Hiring an Office Administrator Near Salem, OR

Position Summary:

The primary job responsibilities of the Office Administrator are to record hours of work, coordinate schedules, monitor basic operations, process recorded hours as required for Payroll, coordinate and administer general office activities, as well as accounts payable functions.

This role is based in Falck’s Salem, OR location and will also provide support to Falck’s operation in Aurora, CO.

Essential Functions:

  • Greet visitors.
  • Fill schedule vacancies to meet staffing requirements.
  • Calculate timecards for hourly (non-exempt) employees.
  • Monitor PTO balances and process time off requests in accordance with the CBA and Falck policies and procedures.
  • Build and update schedule templates and employee profiles within the electronic scheduling system.
  • Compose and disseminate routine correspondence to EMS personnel as needed for scheduling.
  • Work closely with EMS personnel, supervisory staff, and Management to coordinate the schedule and payroll efforts.
  • Demonstrate professionalism and courtesy to all internal and external customers.
  • Perform a variety of clerical duties, including filing, faxing, and copying, composing and distributing memos, routine correspondence, and other documents, and directing incoming phone calls and mail.
  • Develop and maintain professional and courteous relationships with internal and external customers.
  • Communicate with property manager concerning building or maintenance issues.
  • Monitor inventory of office supplies and upkeep of office machines, and order supplies and request maintenance as necessary.
  • Code invoices, prepare and submit all account payable for payment.
  • Effectively communicate with all customers, staff, and management.
  • Manage time and organize work with minimal direction.

Additional Duties:

  • Attend all required meetings.
  • Effectively communicate with Management regarding scheduling status and overtime.
  • Perform other job related duties as assigned by Management.
