JOB OVERVIEW

Works closely with the Catering and Special Director and acts as a sales representative. Responsibilities include solicitation and sales of social business and/or Social Events for the Food and Beverage Outlets at Faena Hotel & Faena Forum. This position serves as an extension to the Catering and Special Events Director in support to the sales efforts and representation to the hotels. Social – Weddings, Birthdays, Bar Mitzvah, etc. 

DUTIES AND RESPONSIBILITIES

• Create relationship networks with key players in the targeted industries and leverage these relationships in order to solicit paid events.
• Social Events: solicit new business, create relationships with event planners, local & international.
• Attend site inspections with clients.
• Coordinate and assist the Catering & Special Events Director on sales process.
• Negotiate with approved parameters and procedures Input event details into the Delphi (hold date, client contact information, etc.)
• Merge appropriate proposal / contract and customize if needed. 
• Ensure all signed contracts and proposals are returned by client before the event dates.
• Create Banquet Checks, Collect and register deposits and retrieve menu choices.
• Create detailed Banquet Event Orders with Delphi.
• Send the detailed BEO to each client before the event and obtain the signed confirmed copy of the BEO from the client. 
• Assist and oversee day of event setup and logistics with Director of Banquets if needed.
• Greet client at the beginning of each event sold and introduce to key contact, send thank you notes if appropriate.
• Go through the pending contracts on Monday and Fridays and follow up with clients.
• Database Maintenance i.e. Daily updating and inputting of contacts and activities into Delphi.
• Close out month end books: ensure all events are rung in, revenues are allocated to the correct budget on daily recap sent out by accounting.
• Ensure payment method is collected and completed one week prior to the events.
• Create and submit check requests for outsourced vendors.
• Generate maximum financial performance for the hotel. This includes responsibility for generation of revenue, and effective cost controls.
• Cost Consciousness - Works within approved budget; Develops and implements cost saving measures; Contributes to profits and revenue; Conserves organizational resources.

REQUIREMENTS

• Minimum of 3 years of experience as a Catering and Special Events Sales Manager.
• Flexible schedule as business dictates.
• Fluency in English. Strong written, verbal and non-verbal communication.
• Computer efficiency: Microsoft programs / Delphi / Opera.
• Experience with Microsoft Office (Word/Excel/PowerPoint).
