About the Role:

We have an exciting opportunity to support our Events & Community team as a Manager, Meetings & Events based in Miami, FL. The Manager, Meetings and Events, reports to the Director, Meeting and Events, and is responsible for planning, execution and oversight of Subway's conferences and bi-annual convention. The position works cross functionally and with vendors to provide operational oversite and project management to meet department and organization's goals. The Senior Manager, Meetings and Events, facilitates all aspects of meeting planning -- project management, logistical management, financial management, location and venue RFPs, site selection and site visits, event registration using Cvent, marketing, housing management, onsite staffing and logistical management, and detailed post-event reports.

Responsibilities include but are not limited to:

  • Act as project manager for meetings and conferences. Includes creating and managing production timelines and conducting planning meetings with clients and partners.
  • Responsible for managing the registration process using Cvent. Includes attendee management and reporting.
  • Manage vendor relationships, oversee timelines, communication, planning of trade show, vendor showcase events, VIP sponsor relations and budgets. Work with outside Trade Show Contractor on site execution.
  • Provide logistical management for meetings, including travel, preparing event specs with detailed set-up requirements, communicate requirements to clients, venues and vendors, and manage event app (if needed).
  • Establish and maintain excellent relationships with cross functional teams and leadership to ensure logistics are fully integrated.
  • Accurately review and approve BEO's, flow sheets, and function orders with venues and vendors.

Qualifications (some examples listed below):

  • CMP, CMM, CEM, or other Meeting Industry certifications preferred.
  • College degree or equivalent experience.
  • 3 years of demonstrated experience meeting planning.
  • Strong ability to manage projects.
  • Previous experience using Cvent database/software.
  • Able to multi-task, problem solve and meet deadlines.
  • Strong writing and verbal communications.
  • Strategic and creative thinker.
  • Exceptional attention to detail, multi-tasking and time management.
  • Budget management preferred.
  • Proficiency in Microsoft Office products (Outlook, Word, Excel, and PowerPoint), Smartsheet and other relevant business software.
  • Strong curiosity about the business and industry.
  • Outstanding interpersonal skills.
  • Collaborative, team player who builds productive and efficient working relationships.
  • At events, ability to work nights and weekends for successful execution.
  • Travel up to 30% of the time.
