We are recruiting for an Executive Assistant to be based in our Australia Insurance office with a hybrid schedule that has the option of working two days remotely each week. Role Purpose: Support and manage operational and administrative tasks to provide support to the Senior Leaders (Head of APAC and Head of Australia) and provide timely and pertinent information to internal and external customers of the company. Key Accountabilities: Management Support Functions Efficiently manage the Senior Leaders’ calendar, scheduling and coordinating appointments, meetings, and events. Prepare necessary materials and information for meetings, including business development discussions. Coordinate trips, tickets, reservations. Execute administrative support activities and solving requirements (office materials, transport, collection, documentation production or others necessary for daily operation). Organize and coordinate events of the company, taking care of logistics Meeting Support Prepare agendas, take accurate meeting minutes, and distribute follow-up action items, especially for meetings related to business development discussions. Coordinate logistics for business development meetings, including room reservations, technology setup, and catering if needed. Coordinate and support the Leader in networking events, conferences, and meetings to promote business growth. Confidentiality Handle sensitive information with the utmost discretion and maintain a high level of confidentiality, especially in business development matters. Organize and maintain confidential files, records, and documents related to business development activities. Desired Skills & Experience Bachelor’s Degree, Diploma or Executive Technical Specialized Management of Microsoft Office: Visio, Outlook, Word, Excel, PowerPoint. At least five years of experience in similar roles in the insurance or banking industry is highly appreciated (Not excluding).
