Senior Site Selection Manager

GENERAL SUMMARY
As a Senior Site Selection Manager, you will manage and execute all activities associated with sites logistics and contract management. You will serve as the primary internal and external client contact as well as working closely with Hotels, CVB/NSO’s to find the best venue for the event. You will lead client projects from small to large in group size (50-1,000 rooms on peak night). We are always striving to find ways to do things better, ensuring our customers have the best experience possible, so we look to our employees to help us improve.
ESSENTIAL FUNCTIONS
  • Establish strong partnership with existing clients
  • Participate in renewing client contracts (sites only clients)
  • Lead small to large group projects (50 – 1,000 rooms on peak night)
  • Evaluate event details, and load RFP details into Cvent
  • Conduct sites research and closely work with our CVB/NSO contacts
  • Foster relationship between Etherio and CVB/NSO contacts
  • Understand how to evaluate venue proposals
  • Review and narrow hotel options with input of planning lead
  • Create comprehensive hotel-venue presentation (via Cvent or PowerPoint)
  • Set up site inspection agenda for client and planning lead or lead site visit (sites only clients)
  • Lead contract negotiations for client; understand client’s budget parameters
  • Work with procurement office (based on client) to negotiate and finalize hotel agreement
  • Forward weekly pick up reports 12 weeks prior to event
  • Forward final pick-up report at end of event
  • Assist in attrition and/or cancellation negotiations, if necessary
  • Attend some of our larger events (travel staff)
  • Attend monthly business unit meetings
  • Other duties as assigned
MINIMUM AND PREFEREED QUALIFICATIONS
  • Bachelor’s Degree or equivalent experience
  • 8 years meeting planning/sites management/hotel management
  • Strong knowledge of contract negotiations / legal verbiage
  • Strong knowledge of Cvent and/or any other sourcing software
  • Advance computer and database management skills required
  • Strong organizational and time management skills required
  • Strong communication and interpersonal skills required
  • Strong customer service skills
  • Demonstrated strong attention to detail, legal knowledge
  • Ability to multi-task
WORKPLACE LOCATION REQUIREMENTS
Atlanta or Remote
We operate as a Hybrid work environment, working as a combination of remote and in-office presence, as well as the possibility of being onsite at client and/or event locations.
TRAVEL REQUIREMENTS
  • Ability to travel at least 30%
SCHEDULING REQUIREMENTS
  • Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.

  • Need to adapt in various physical settings (for example, conference centers, indoor and outdoor spaces).
  • Occasionally required to position self in a stooping, kneeling, or crouching manner.
  • Frequently required to use hands or fingers, handle or feel objects, tools, machinery, and computers.
  • Frequently communicates with others and must be able to exchange accurate information in these situations.
  • Frequently operates a computer and other electronic equipment.
  • The noise level in the office work environment is usually low to moderate, while event environments may be moderate to noisy.
