This position ensures the smooth operation of all firm events, including both external and internal facing receptions, lunches, client education seminars and dinner meetings. Strong communication skills are required in working with both internal and external clients, as well as a strong desire to serve others. Working knowledge of video conference technology is required. This position includes food and beverage ordering, coordination, meeting setup, and cleanup of catered events, and the handling of any client requirement with a positive “can-do” attitude. This person will be a member of the Reception Team and is cross trained for every area of the Reception department.
Essential Job Responsibilities
Execute and evaluate all internal and external events, receptions, lunch and dinner meetings, as well as providing meals and snacks for internal teams. Direct event planning process with key internal and external clients to enhance presentation and event standards for all conferences and internal events, including retirements, anniversary and holiday events. Communicate usage policies, procedures, and cost impact to the firm and its clients. Assist clients in managing and finalizing all events, including meeting room setup, registration table setup, name tag preparation, and greeting guests. Recommend improvements to the event service process in order to ensure a successful meeting and event environment. Problem solve the unexpected and have the ability to change direction quickly. Interview and choose vendors for lunch meetings and catered events. Provide ongoing feedback on ways to improve processes.
Obtain competitive quotes and bids for equipment and services and provide cost estimates to clients and firm. Lead other members of the Reception Team in planning menus, meetings, logistics, room setup and equipment requirements. Maintain standard hospitality supply inventory and price and coordinate special order items as needed. Provide multi-line switchboard backup to Reception Team. Requires typing/computer skills, including calendar management through Outlook and conference room management software
Scope of the position includes supporting office reception as needed; answering all telephones, including switchboards. Ability to maintain a busy client reception, direct clients to proper offices and make sure they are not kept waiting. Ability to handle all service-related deliveries. Assist with conference room set up and maintenance. Heavy interaction with secretaries and attorneys, with the ability to handle different personalities and situations and maintain a positive and helpful attitude.
