Ecogardens is Hiring an Executive Assistant Near Kentwood, MI

The Executive Assistant will provide administrative and project support to the company owner. The role requires a proactive individual with exceptional organizational skills, attention to detail, and the ability to handle confidential information with discretion.

Key Responsibilities:

Work closely with the Company owner on:

  • Calendar Management: Efficiently manage executives' calendars, scheduling meetings, appointments, and travel arrangements, prioritizing conflicting demands and ensuring optimal use of time.
  • Communication: Serve as a liaison between company and internal/external contacts, including clients, partners, and team members. Handle phone calls, emails, and correspondence with professionalism and confidentiality.
  • Travel Management: Arrange travel for owner, including flights, accommodations, and transportation. Prepare itineraries and ensure travel plans align with business objectives.
  • Expense Management: Track and reconcile expenses, process reimbursements, and maintain accurate records of financial transactions.
  • The work could include Administrative Support in the following systems (training provided as necessary):
  • Manage the LMN Landscape Business Management system for quotes, time tracking and budgeting.
  • Manage the Hubspot CRM (sales pipeline).
  • Utilize MS Office Sharepoint services
  • Utilize QB online for basic information and updates.
  • Provide general administrative support, including drafting documents, reports, presentations, and correspondence. Conduct research and compile data as required.
  • Systems Development: Assist owner with special projects, initiatives, and ad-hoc tasks as assigned, including systems development for client services, and crew management Collaborate with other team members to ensure project deadlines are met.
  • Confidentiality and Discretion: Handle sensitive information with utmost confidentiality and discretion, maintaining trust and professionalism at all times.Qualifications:
  • Proven experience as a proactive project manager and/or exeecutive assistant.
  • Excellent verbal and written communication skills, with the ability to interact effectively with diverse stakeholders.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.
  • Experience and/or interest in environmental management, landscaping, horticulture, and green roofs.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Attention to detail and accuracy in all work activities.
  • Discretion and professionalism in handling confidential information.
  • Flexibility and adaptability to changing priorities and fast-paced environments.
  • Bachelor's degree or equivalent experience preferred.

  • This is a full-time position based at our Grand Rapids office. Part-time will be considered if the right fit.
  • The role may require occasional overtime and flexibility in working hours to accommodate executive schedules and business needs.
