- Responsible for the timely and accurate payments of goods and services necessary for business operations. Handles all aspects of the accounts payable process including but not limited to vendor maintenance, invoices, and payments for multiple companies.
- Resolves critical issues on all aspects of invoicing and payment discrepancies.
- Ensures the delivery of outstanding and highly responsive internal and external customer service with a high degree of flexibility and creativity.
- Ensures record retention is accurate and maintained in compliance with company policy and procedures guidelines, as well as state and federal regulations.
- Ensures new vendors have completed W-9s and other documentation.
- Creates and processes chargeback invoices for various companies.
- Performs pre-audits of all invoices for the purpose of ensuring accuracy prior to payment.
- Utilizes electronic accounts payable system; determines appropriate general ledger coding, and monitors invoice approvals.
- Processes check requests, garnishments and tax payments ensuring all appropriate approvals have been received.
- Reconciles statements from vendors and ensures that all payables are accurate and current.
- Assists with the monthly, quarterly and year-end closing processes for Accounts Payable.
- Maintains accurate files for unpaid and paid bills, including problem invoices.
- Prepares accounts payable and vendor reports as needed.
- Matches statements and resolves invoice issues and inquires.
- Prepares all 1099 tax forms at year end.
- Bachelor’s Degree in Accounting, Finance or related discipline or 2 years’ experience in Accounts Payable.
- Proficiency in Excel, QuickBooks and related accounting software.
- Excellent attention to detail and strong organizational ability.
- Strong problem solving skills, basic accounting principles knowledge, data analysis and multi-tasking skills
- Proven expertise in compliance and regulatory requirements.
- Ability to communicate professionally with people at all levels of the organization and external contacts.
