POSITION SUMMARY:
Highly skilled administrative positionproviding technical and clerical support for the various functional areaswithin the Beard Center for Student Success (CSS).As such, the position is expected toconduct a wide range of activities to ensure efficient operations of the CSSand successful achievement of excellent customer service and student supportinitiatives. As the primary customer service representative for the CSS, thisposition serves as the first point of contact and requires extensiveinteractions with CSS staff, faculty, students and the public on a daily basis.As such strong written and verbal communication skills, organizational andinterpersonal skills are a necessity.
DUTIES ANDRESPONSIBILITIES:
Serves as the first point of contact for the CSS, answering the CSSphone and emails and directing inquiries to the appropriate person ordepartment
Followsup with phone calls, emails, and official written communication
Interfaceswith staff, faculty, students, and visitors to the CSS in a professional andconfidential manner
Processesprocurement card reports for CSS staff
Providesadministrative and back-office support to CSS staff including:
Preparing meeting minutes
Assisting success coaches in updating student information in Banner
Drafting student standing letters
Preparing mailings
Other duties as assigned
Assistswith the coordination of CSS initiatives and events including reserving rooms,ordering food, printing agendas, etc.
Coordinatesthe Beta Gamma Sigma Induction Ceremony
CoordinatesCommencement activities for the School of Business
Supervisesstudent workers assigned to the CSS
Preparesthe common final exam schedule
Maintainsshared Outlook calendars
Annuallyupdates documents including curricular overviews and semester schedules formaster's programs
Processessupply requisitions
Overseesorganization of work-rooms, storage rooms and maintenance of office equipment
Servesas a back-up to the Student Support Specialist
Performsrelated duties as assigned by supervisor
Completes other duties as assigned
REQUIREMENTS:
Minimum qualifications:
Associate's degree froman accredited institution and 3-5 years ofadministrative experience.
Excellent written and oral communication skills to assure superiorcustomer service and a positive overall impression of the School
Exceptional interpersonal skills; able to interact effectively withdiverse constituencies, including faculty, staff, students and the generalpublic
Highly organized and detail-oriented to ensure a high-quality workproduct
Excels at multi-tasking and able to work with distractions
Experience and training in an office environment, with knowledge,skills and abilities required to perform the essential job functions. Thisincludes demonstrated proficiency with current Microsoft Office Suite: Word,Excel, PowerPoint, Teams, Access, and Publisher as well as Outlook e-mail
Event planning experience
A validdriver's license in good standing.
Preferred qualifications:
Bachelor'sdegree from an accredited institution.
