The Position

TYPING TESTS ARE VALID FOR SIX MONTHS.

Incumbent works under the direction of the Health Director or designee, providing advanced administrative support, coordinating office activities, maintaining confidential information and adhering to department policies and procedures.

Essential Functions

  • Compose or transcribe and type documents (e.g. letters, correspondence, reports, agendas, and confidential data).
  • Establish and maintain effective work relationships with clients, supervisors, County employees, elected officials, attorneys, law enforcement, judges, other agencies and the public.
  • Comply with Civil Service policies and regulations, collective bargaining agreements, County policies, department policies and laws to create a cooperative, safe, respectful and quality work environment.
  • Answer and direct calls and greet visitors serving as a referral source and responding to inquiries within level of expertise.
  • Coordinate Board of Health meetings (e.g. gather information, prepare agenda, contact Board members, attend meetings, take notes, prepare and distribute minutes). Attend various meetings, take notes and record/transcribe minutes.
  • Coordinate contract administration activities (e.g. secure signatures, draft resolutions, conduct follow-up, send to appropriate departments).
  • Process and maintain department confidential information and records (e.g. salary information, payroll data, performance appraisals, disciplinary actions, other personnel records).
  • Open, sort, and distribute department mail and correspondence.
  • Establish and maintain filing and retrieval systems (e.g. correspondence, records, forms, reports, contracts).
  • Coordinate and maintain department calendar; schedule meetings, conferences, interviews and travel for Director and staff completing travel arrangements.
  • Prepare, process and maintain requests for proposals, procurement requisitions, and purchase orders.
  • Compile and maintain management policies and/or business procedures.
  • Maintain an adequate office supply inventory.
  • Assist in the training and orientation of clerical staff.
  • Maintain knowledge and skills (e.g. training, meetings, webinars, seminars, conferences, continuing education).
  • Participate in public health emergency response planning and training on responding during an emergency.
  • Safely operate a motor vehicle when required to travel on County business.
  • Report to work with regular, consistent attendance.
  • Perform other duties as assigned and directed.

Education and Work Experience and Other Requirements

  • High school graduation or equivalent required.*
  • Three (3) years of secretarial experience required.*
  • Two (2) years of MSOffice experience required.
  • Type/keyboard 60 net words per minute required.
  • Valid driver's license and own transportation upon hire and maintained throughout employment required.
  • Completion of a pre-employment criminal record check and conditional offer drug screen required.
    • Equivalent combination of education and work experience may be substituted for requirements on a year-for-year basis.

  • Work is generally performed in an office. Noise level is usually moderate. Work hours are typically standard day-shift hours; however, schedule may vary (e.g. days, weekends, overtime/extra time, holidays, emergency call-in). Work involves potential exposure to blood or other body fluids, and infectious materials. Work may be stressful when dealing with time constraints, multiple/changing priorities, limited resources and uncooperative/irate individuals.
  • Work requires some physical activity, including extended periods of sitting, standing, frequent, reaching, walking, and occasional kneeling, bending, crouching, balancing, stooping and climbing. Work requires the ability to frequently lift and/or carry objects weighing up to 10 pounds and occasionally up to 25 pounds.
  • Required sensory abilities include vision, hearing and touch. Visual abilities, correctable to normal ranges, include close, distance, color and peripheral vision, depth perception and the ability to adjust focus. Communication abilities include the ability to talk and hear within normal ranges. Incumbent must possess the hand-eye coordination and manual dexterity necessary to operate computers and other equipment.
