Doorways is Hiring a Maintenance Specialist Near Arlington, VA

Position Summary:

The Maintenance Specialist provides coordination of facilities maintenance and activities on agency facilities and leased properties. The Maintenance Specialist ensures the facilities are properly maintained and safe for clients and staff. This position is full-time and requires a flexible schedule to be available for emergencies and personal transportation for facilities visits. The Maintenance Specialist completes routine maintenance work, small repairs, handyman tasks, and landscaping. The Maintenance Specialist also develops and maintains positive relationships with vendors and coordinates/manages larger repair and maintenance work assignments performed by outside vendors and contractors performing building maintenance as needed. This position reports to the Director of Operations.

Essential Duties and Responsibilities include the following:

  • Ensure the agencies residential homes, leased properties, furnishings, equipment are well maintained and in safe condition.
  • Maintain Service Need Reporting System and ensure all repairs and needs are fulfilled in a timely manner according to established service levels.
  • Work closely with residential directors and program staff to coordinate the maintenance of residential homes and leased properties and complete handyman and landscaping tasks as needed.
  • Manage and implement facilities maintenance for the agency.
  • Select and maintain appropriate network of maintenance vendors; negotiate contracts, scope of work and pricing, as well as invoices for accuracy and compatibility with budget. Review and approve all work performed; including on-site management
  • Work with Development team to secure in-kind providers of labor and materials whenever and wherever possible without sacrificing the quality.
  • Conduct quarterly interior and exterior walk-throughs at each facility with Program Directors to examine wear and tear on buildings, cleanliness and safety of buildings, and to monitor building maintenance. Walk-throughs will also provide a check of vendor services and repairs in addition to monitor the need for services as reported by staff and vendors. Work with client services staff to guide clients to respect Doorways’ properties.
  • Conduct periodic inspections as needed of leased apartments and spaces to examine wear and tear on buildings, cleanliness and safety of buildings, and to monitor building maintenance. Walk-throughs will also provide a check of property management services. 
  • Maintain records of all dealings in an organized and easily referenced condition for future historical needs.
  • Assist the Director of Operations in monitoring the facilities budget and preparing status reports for Board Facilities Committee, Executive Director, Director of Finance and Administration and Program Directors as needed and requested
  • Upon request, prepare materials and reports and participates in Facilities Committee meeting.
  • Other duties, as assigned.

Internal/External Contacts:

  • The position has wide latitude to make contact with internal staff and external stakeholders in conducting the duties.

Agency Responsibilities:

  • Demonstrate alignment with Doorways core values and mission.

  • In partnership with Doorways staff, assist with Doorways client and community events
  • Attend and actively participate in required meetings both internally and externally.
  • Collaborate and coordinate with community agencies on vetted group volunteer activities.
  • Maintain current industry knowledge and application of best practices.
  • Collaborate with relevant staff on a continual basis and proactively plan and lead volunteer related activities.
  • Must be located in the DMV area.

Knowledge and Skills Needed:

  • A high school diploma or equivalent required. Bachelor’s degree preferred.
  • 3 years in facilities related field
  • Understand mechanical, fire, electrical, plumbing, security and windows/doors systems and understand facility impacts on client(s) operations. Experience in construction trades (electrical, plumbing, carpentry, painting) a plus
  • Monitoring and inspecting contracted work to ensure compliance with contractual agreements and with national, state and local code requirements
  • Flexible and a self-starter; able to multi-task while also being willing to “roll up the sleeves” and get tasks done
  • Excellent people skills, with experience collaborating in a multi-disciplinary, diverse, and dynamic team
  • Must possess proficient computer skills, including word processing, spreadsheets, email, and the internet (Microsoft Suite). IT knowledge or experience a plus.
  • Prepare reports to include project status updates, prepare and maintain project files, and document project status (photos, memo to file, daily reports)
  • Manage communications from project inception/concept to close-out, to include written communications on project status and updates
  • The ability to occasionally lift and/or move up to 50 lbs.
