Position Overview:

We are seeking a meticulous and detail-oriented Invoicing Specialist to join our finance team. The Invoicing Specialist will play a crucial role in ensuring accurate and timely invoicing processes, maintaining financial records, and providing exceptional support to both internal teams and external clients. The ideal candidate should possess strong organizational skills, a keen eye for accuracy, and the ability to work collaboratively in a fast-paced environment.

Requirements

Key Responsibilities:

· Generate and distribute accurate and timely invoices to clients based on established billing cycles and terms.

· Review contracts and sales agreements to ensure proper billing information, pricing, and terms are reflected in invoices.

· Collaborate with sales, customer service, and project teams to gather necessary information for invoicing, including project details, deliverables, and any additional charges.

· Verify and reconcile invoice data to ensure consistency and accuracy in billing records.

· Handle billing inquiries and discrepancies promptly and professionally, working with clients and internal stakeholders to resolve issues.

· Monitor and track accounts receivable to ensure timely payment of invoices.

· Prepare and distribute regular reports related to invoicing and accounts receivable to the finance team and management.

· Assist in the development and improvement of invoicing processes, recommending efficiencies and best practices.

· Maintain organized and up-to-date electronic and physical records of invoices and supporting documentation.

· Collaborate with the finance team to ensure compliance with company policies, accounting standards, and relevant regulations.

· Participate in cross-functional projects and initiatives to improve overall financial operations and customer experience.

Qualifications

· Bachelor’s degree in finance, accounting, or related field (or equivalent work experience).

· Proven experience in invoicing, accounts receivable, or related financial roles.

· Strong understanding of invoicing processes, billing cycles, and accounting principles.

· Proficiency in using invoicing software and tools; experience with accounting software such as QuickBooks, Xero, or SAP is preferred.

· Excellent attention to detail and accuracy, with the ability to identify and resolve discrepancies.

· Effective communication skills, both written and verbal, for interacting with clients and internal teams.

· Strong organizational skills and the ability to manage multiple tasks and priorities simultaneously.

· Problem-solving and analytical skills to address billing discrepancies and resolve issues.

· Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

· Ability to work independently and collaboratively within a team environment.

· High level of integrity and professionalism when handling sensitive financial information.

· Willingness to adapt to changing processes and technologies in a dynamic work environment.
