Overview

The Senior Accountant is responsible for the day-to-day financial operations of the finance department for the corporations assigned including all internal and external reporting requirements.

Responsibilities

  • Understand and monitor internal control policies related to purchasing, cash receipts and disbursements, financial reporting and billing. Maintains all information on a confidential basis.
  • Perform timely and accurate execution of day-to-day financial operations, including:
      • Work with the Accounts Payable manager to ensure timely recognition and accurate allocation of expenses
      • Ensure that expenses have been properly allocated to each funding source by reviewing purchasing batches and correcting as needed before posting.
      • Ensure all bank activity is properly recorded in the general ledger – including electronicbanking (i.e. ACH preparation, bank transfers, obtain direct deposit information support, as well as approve bank batches prepared by Cash Accountant.
      • Work with the various Rep Payee and Affordable Housing (AH) program staff to ensure that we have the information needed to record accurate rent information in the general ledger (i.e.move in, move outs, additional rent charges, etc) to proper reporting units, funding sources etc.
      • Assist the sites with use of EPAY Cash Management System for both deposit processing and account balance review.
  • Prepare monthly duties involved in preparation of financial statements, including:
      • Preparation & posting of general ledger journal entries; with adequate supporting documentation.
      • Preparation of general ledger journal entries
      • Approve bank reconciliations; follow up on reconciling items
      • Reconciliation of balance sheet accounts; including A/R for each program and contract
      • Reconciliation of other general ledger accounts as needed
      • Access and print electronic bank statements for the various banks
      • Go to numerous external websites to pull monthly reports as needed.
      • Entering additions and disposals into the fixed asset software (sage) and reconciliation to general ledger
      • Work with program directors to maximize billing opportunities
      • Ensure expenditures are within budget or have obtained special approval
  • Ownership and generation of Monthly Financial Statements, including but not limited to:
      • Preparation and analysis of monthly financial statements in conjunction with the other Senior Accountant

      • Timely account reconciliations of balance sheet accounts; with proper supporting documentation maintained

      • Preparation of Variance analysis of current month values to budget and prior year

      • Timely distribution of monthly financials and detailed month activity to corresponding program managers

      • Ensuring financial records are properly maintained and recorded in accordance with accounting regulations

  • Reconcile all accounts receivables on a monthly basis and review on a regular basis with programs directors, rep payee, to manage the collectability status of all of the AR balances (residents, contracts and all funding sources). As needed, identify need for AR reserves. Identify trends in AR write-offs and work with program directors to add controls to mitigate future potential account write-offs (mainly dealing with resident rent charges).
  • Lead role in the development of annual budgets, including:
      • Working with each program director to develop their budgets, with detailed documentedsupporting assumptions.
      • Timely input of Final Budget into Great Plains software
      • Monitor and manage budget vs. actual variations
  • Management of financial contracts with Federal, State and County agencies.
  • Perform the administrative functions related to the above contracts, including:
      • Ensuring the maximization of funding and legal compliance
      • Ensure all contracts are vouched and collected in a timely and compliant manner
  • Responsible for meeting all the reporting requirements for the above contracts on a timely and compliant basis.
  • Responsible for generation of all documentation required by external auditors on a timely basis (PBC’s)
  • Performs other duties as assigned.
  • Qualifications

    Education:  Bachelor’s Degree in Accounting or Business-related field or Associate’s Degree in Accounting with 5 years related FT experience.

    Must meet DePaul’s Clean Driving Record Policy.

    Work Environment

    Work Week: Monday – Friday (8 hours per day between 7am – 6pm) overtime as required. . Must meet DePaul’s Clean Driving Record Policy.
