Denver Rescue Mission is Hiring an Operations Office Coordinator Near Denver, CO

Description
The Operations Office Coordinator is a full-time, non-exempt position of Denver Rescue Mission (DRM). The Operations Office Coordinator reports directly to the Vice President of Operations and is responsible for providing administrative support to the VP of Operations, VP of Programs, Directors of Operations, Vehicle Donation Program, special events and general operations.
Hiring Range : $19.86 - $24.81 per hour, based on qualifications and experience.

RESPONSIBILITIES
Administrative Support for VP of Operations, VP of Programs & Directors of Operations (50%):
  • Provide general administrative support including printing and mailing letters, scheduling, preparing reports, meeting notes and other projects as assigned
  • Maintain and reconcile all credit card receipts and statements, assist in budgeting as requested
  • Assist with data entry and maintaining files in Salesforce
  • Assist with maintaining operations drive shared files, and updating intranet homepage and calendar
  • Participate in continuous improvement projects and trainings, utilizing Agile and Lean Methodologies and promoting departmental values in various teams
  • Assist in recording and reconciling expenses to the Capital Spreadsheet
  • Coordinate celebrating birthdays, anniversaries through decorations and lunches for Directors and their direct reports
  • Other tasks as assigned
Administrative Support for Vehicle Program (25%)
  • Complete and organize IRS documents
  • Answer email, internet, and phone inquiries regarding the Vehicle Donation Program when the coordinator is absent
  • Assist in scheduling vehicle donation pickups when the coordinator is absent
  • Maintain all Denver Rescue Mission fleet vehicle titles, registrations, and insurance
Office Coordination (25%)
  • Create and distribute reports, meeting notes, and updates
  • Provide administrative and on-site support for special events
  • Provide administrative support to Turkey Time Activities during the month of November and Inventory during the month of June.
  • Process Motor Vehicle Records for staff and program participants and maintain authorized drivers list
  • Support trainings that Operations offers by scheduling, providing set up assistance, etc.
  • Order office supplies monthly as needed
  • Order business cards, name plates, name tags and other items for new hires
  • Maintain Denver Rescue Mission cellular devices, reconcile and pay cellular device invoices monthly
  • Manage and reconcile various subscriptions for Operations
  • Remind and collect reviews as needed for Operations staff

Requirements

  • Agree to be governed by the Constitution and Bylaws

  • Abide by the Employee Handbook
  • High School diploma required; associate's degree or higher preferred
  • Prior experience working in an administrative assistant capacity
  • Proficiency in the various Microsoft Office programs and familiarity with updating a database.
  • Must hold a current, valid Colorado Driver's License and be willing to authorize a driver's record background check. Driving record must be insurable under DRM's standards.
  • Must be willing to drive fleet vehicle
  • Solid Christian ethic with ability to work with people of diverse cultural, educational, and religious backgrounds.
  • Willingness and ability to obtain Used Car Salesperson license.
  • Willingness and ability to become Notary Public.
  • Excellent administrative and organizational abilities as well as excellent written and verbal communication skills
  • Communicate effectively across all levels of the organization and outside
  • Professional demeanor while handling sensitive and confidential matters
  • Ability to prioritize multiple tasks, meet deadlines, and maintain meticulous attention to detail
  • Ability to complete a task with little to no direction, resourceful
  • Interact cheerfully, creatively, and professionally with donors, vendors, and other Denver Rescue Mission contacts
  • Superior ability to work independently, self-driven
