THE OPPORTUNITY

The Office Manager operates a welcoming and efficient front office, designed to ensure that all non-instructional elements of school activities are well run. The Office Manager is the person that students and families can count on when they need assistance, get an answer to a question, or just exchange a friendly smile. The Office Manager will be responsible for overseeing the basic day-to-day operational functions of the school, including enrollment and business administrative matters. The Office Manager does not have supervisory responsibilities, but they will work with the Principal, school leadership team, and other members of the operations team, which include an Operations Assistant and Food Service Coordinator, to ensure the needs of all students, staff, and families are met with attention to quality and timeliness.

The Office Manager is a full-time 12-month position. Occasional night and weekend hours may be required as needed for campus events and/or emergency situations. The Office Manager will report to the Operations Site Lead. This will be an exempt position, not eligible for overtime. This position has no supervisory responsibilities.

THE DAY-TO-DAY

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Responsibilities of the Office Manager will include but are not limited to:

Front Office Management

  • Set the tone for the school as warm, welcoming, and safe environment for all students, families, and visitors, ensuring that everyone is greeted in a friendly, courteous manner, with a strong customer service-orientation, and in accordance with safety policies
  • Collaborate closely with the Operations Assistant to maintain a highly organized, high-functioning front office work area that meets student, staff, and family needs
  • Lead and execute effective front office systems

Enrollment & Family Support

  • Communicate messages regarding matters of academics and discipline to families as directed by the Principal or other members of the campus leadership team
  • Assist new and returning families in completion of application and registration processes, ensuring that all enrollment paperwork is accurate and complete for all students
  • Serve as the school's MKV liaison, ensuring compliance with DC's McKinney-Vento (MKV) Act by coordinating supports for students experiencing homelessness (uniforms, school supplies, transportation, etc.), maintaining accurate intake records, tracking utilization of dedicated funding, and participating in trainings
  • Manage public transit supports (e.g., Kids Ride Free program) to help students and families with transportation needs to get them to/from school
  • Coordinate logistics for family events and other special school activities to ensure smooth and cost-effective execution

School Liaison and Safety & Response

  • Serve as a key member of the school's emergency response team, supporting the execution of safety drills and providing guidance to staff and students as needed to ensure proper safety procedures are always followed
  • Respond to all safety-related incidents at the school-level and submit all incident report documentation to supervisor
  • Serve as the main point of contact for the school nurse (provided by an external agency), assisting with any questions, concerns, or issues that may arise related to student health needs
  • Serve as the main point of contact for any other contracted staff or city-provided staff, such as crossing guards, aftercare providers, school photos photographer, etc.
  • Serve as the first point of contact for any safety & emergency responders, such as local police officers, fire department officials, and/or child & family services representatives, who may need to interact with the school
  • Serve as the primary school-level contact for the Home Office Facilities team to oversee building maintenance and coordinate on repairs, deliveries, and installations
  • Coordinate with custodial and facilities staff to ensure that immediate or unexpected cleaning and facilities needs are handled appropriately and with minimal disruption to student learning
  • Administer medications and provide first-aid to students when the school nurse is not available
Business Administration
  • Ensure accurate and timely management of all accounts payables and accounts receivables
  • Design and execute processes to effectively manage funds collection from activities such as field trips, Parent Action Team fundraisers, and special incentives such as Jeans Days
  • Submit monthly credit card reconciliation and bank deposit to Home Office Finance team and support with preparation of expense reimbursements for semi-monthly payroll processing
  • Coordinate with the People Operations Team to execute semi-monthly payroll, onboarding, benefits enrollment, and off-boarding for all school-based employees
  • Work with Principal and People Operations team to ensure staff leave is accurately tracked

General Support

  • Supervise students during arrival, dismissal, lunch, recess, and/or late pick-up, as needed
  • Schedule and coordinate meetings, events, interviews, appointments, trainings, and/or other similar activities for the Principal and other members of the school staff
  • Assist in monitoring school-wide attendance and punctuality patterns
  • Serve as back-up to Operations Assistant to support with key front office duties (attendance, student information updates, meal recording, supply requests, etc.) when they are unavailable or not present

QUALIFICATIONS

  • 5 years of administrative leadership experience
  • High school diploma or GED required; Bachelor's degree preferred
  • A history of impeccable attendance, punctuality, and reliability
  • Very strong interpersonal and communication skills (written and oral)
  • Strong organizational skills and attention to detail
  • The ability to maintain strict confidentiality in regard to work performed
  • A solutions-oriented mindset
  • The ability to handle calmly and efficiently situations, ranging from routine to emergency
  • Excellent computer skills, including fluency with Google Suite, PowerSchool, Microsoft Word, and Microsoft Excel
  • Certification in medication administration, first aid, & CPR (if not certified, must be willing to complete training to receive certification)
  • Certification in food handling & food safety (if not yet certified, must be willing to complete training to receive certification)
  • The ability to work beyond stated job hours when necessary
  • A willingness to learn new things and eagerness to acquire new skills
  • Positive attitude, maturity, and personal stability sufficient for a demanding position
