Job Title: Commercial Sales Coordinator


Department: Maryland Commercial Department

Location: Annapolis Junction, Maryland

Reports To: Commercial Inside Sales Manager


Job Overview:

The Commercial Sales Coordinator will be a team player, providing the highest level of customer service to internal and external customers by implementing great communication, attention to detail, and organizational skills

  • Demonstrate mechanical aptitude
  • 1-3 years related experience preferred
  • Must be able to pass background and reference checks, as well as a drug test


Scope of Responsibility:

  • Submittal Preparation for Commercial Projects
    • Submittals are to be prepared following the proper procedures to ensure accuracy and quality to satisfy customer and department requirements
    • Maintain electronic and hard copies of submittals
    • Submittal Reports: An “End of the Month” report will be generated for management analyzing totals by product and by salesman using Excel
    • Provide start-up files to service for applicable jobs. File will include: cover sheet, copy of submittal, and job number
    • Organize and distribute operation and maintenance manuals for all jobs.
    • Initiate job closeouts – record project on the contractor log and file
    • Create a file for the Industrial Department of released submittals that meet criteria
  • Maintain up to date price sheets per manufacturer on company network
  • Maintain multiple reports: PDQ, Xylem Large Pump, Job Release, and various vendor reports as needed
  • Man Rep – Commission Processing
  • Specification Compliances
  • Prepare and assist as needed with presentation preparation
  • Assist with color printing projects such as, seminar hand outs and flyers
  • Distribute department mail
  • Cover reception when needed – Includes answering a multi-line phone system
  • Navigating through our business system (NetSuite) for job numbers and close out dates
