ADMINISTRATIVE SPECIALIST

Location: Los Angeles, CA 90056 | 100% Onsite

Crystal Stairs is seeking an efficient professional to handle the administrative affairs of the Programs Department and provide clerical support to the Senior Director who oversees multiple departments.

Key Responsibilities

  • Handle a heavy administrative workload that consists of filing, processing invoices, tracking expenses, preparing routine correspondence and scheduling meetings.
  • Assist Senior Director with the production of materials for meetings and trainings.
  • Prepare corporate filings, board and committee meeting minutes, and other corporate documents.
  • Manage the contract routing, execution and maintenance process.
  • Update and manage leader appointment calendar and Departmental task list.
  • Work on special projects and other tasks as assigned by Senior Director.

Experience, Knowledge, Skills and Abilities

  • Minimum of 2 years of experience working as a legal assistant or paralegal in a corporate legal department or law firm required.
  • Bachelor's degree from a four-year accredited college or Paralegal certificate preferred.
  • Knowledge of Microsoft Word and Outlook required. Familiar with Excel, PowerPoint, Adobe and Zoom.
  • Ability to maintain and uphold strict confidentiality
  • Demonstrate strong analytical and organizational skills
  • Ability to work on multiple tasks with attention to detail
  • Ability to remain calm under the pressure of tight deadlines and changing priorities
  • Able to communicate tact and diplomacy with all levels of employees including C-suite team, Board members and other stakeholders
  • Ability to problem solve and drive tasks forward with minimal supervision
  • Demonstrate excellent verbal and written communication skills
