Description

The Administrative Assistant is responsible for providing administrative support to the Credit Union's Vice Presidents and the Director of Administrative Support with the highest level of excellence, professionalism, sensitivity and confidentiality appropriate to Senior Management. As well as support the COO with Facility Management for all Credit Union branches and HQ/Operations Center.
Responsibilities:
  • Responsible for upholding and adhering to Credit Union of Georgia brand standards including following all the steps of journEASE, our unique member experience program. To Engage, Ask, Solve and Excite while delivering top level member service every time.
Serve as primary point of contact for Vice President's and their teams:
  • Calendar Management: set appointments with internal & external contacts; book, set up & clean up conference rooms; contact catering firms when needed.
  • Travel Management: researching & booking available flights, hotel, and conference registration.
  • Prepare confidential correspondence, reports, and other complex documents. Regular, reoccurring as well as on-demand requests.
  • Maintain corporate files and proper scanning of all correspondence.
  • Prepare monthly expense reports.
  • Be able to complete research projects, prepare summaries for Vice Presidents to make sound decisions.
Providing administrative support when the Director of Administrative Support is out of the office or as needed:
  • Recording Secretary for meeting minutes for Internal Committees: IT Steering, Consumer/Commercial/Mortgage Loan meetings. Audit Committee/Board of Directors meeting minutes, as assigned, Strategic Planning meeting minutes as assigned.
  • Provide administrative assistance to the Executive Management team.
  • Assistance with preparing Audit Committee and Board of Directors meeting packages.
  • Assistance with CU Boardroom items: uploading documents, resetting passwords, setting up events (monthly meeting dates) as needed.
  • Setting up/breaking down the conference room and catering for monthly Board meetings (10 per year).
  • Support our Audit Committee and Board of Director members with the highest level of excellence, professionalism, sensitivity, and confidentiality.
Mail & Facility Management:
  • Travel to Post Office to collect mail daily. Distribute incoming and outgoing mail and other correspondence or items as needed.
  • Oversee the Courier relationship. Organize bags for weekly branch distribution.
  • Answer door for deliveries and alert team members for collection for large deliveries.
  • Assist the COO with facility items: open tickets and scheduling vendor appointments for various branch/building maintenance items (repairs, backflow testing, elevator maintenance, updating vendor contact list, etc).
  • Making sure kitchens are stocked with paper towels, cups, sodas, coffee, stocking other necessary items.
  • Key Contact for ordering office supplies, cleaning supplies and other items for the HQ/Operations Center and branch items. Tracking and seeking cost savings.
Perform other job-related duties as assigned.
Requirements
Experience
  • Three (3) to five (5) yeas of similar or related experience, including time spent in preparatory positions.
  • Proficient in the use of MS Outlook, Word, Excel, PowerPoint. Able to quickly learn Credit Union software for reporting needs.
  • Prior use of Avidxchange for expense reporting a plus.
Education/Certifications/Licenses
  • A two-year college degree or completion of a specialized course of study at a business or trade school or equivalent experience is required.
