COWETA COUNTY COMMISSIONERS is Hiring an Office Manager Near Newnan, GA

Grade 12: Minimum Wage: $21.13 per hour

Dept/Div: Multiple/N/A---FLSA Status: Non-Exempt

General Definition of Work

Performs intermediate skilled administrative support work participating in and providing administrative support and office coordination for an assigned department, preparing and processing various financial documents, entering and retrieving data from computer system, assisting customers, preparing and maintaining records and files, preparing reports, and related work as apparent or assigned. Work is performed under the limited supervision of the assigned department head. Continuous supervision is exercised over assigned staff.

Qualification Requirements

Essential Functions

Plans, organizes, directs, schedules the workload and activities of staff for the department.

Plans, coordinates, assigns, supervises and performs clerical work; orients, trains, develops, assists and reviews progress of subordinate support personnel; recommends hiring, transfer, promotions and termination of personnel.

Prepares and maintains time sheets and on call scheduling for the department.

Prepares and manages RFP’s, maintains database and submits and maintains issue papers.

Performs data entry inputting, reconciling and calculating payments and deposits for department’s accounts and responsible for coding and approving invoices.

Assists with implementation and maintenance of software and associated databases; tracks ticket activity, and schedules departmental maintenance and repairs.

Composes correspondence and prepares reports independently or from oral instructions; prepares and revises department’s SOPs, policies, ordinances, and procedures.

Develops and maintains various database systems and programs; provides reports and schedules to County departments.

Assists the public and County departments with the completion of various records, applications, etc.; verifies completeness and accuracy of information; coordinates processes with other agencies and departments.

Prepares statistical and financial reports; processes budget information and compiles figures for annual budget; prepares and administers office budget and department personnel.

Coordinates and attends meetings, oversees the preparation of packages for dissemination prior to meetings; coordinates and organizes events; makes travel arrangements.

Receives calls, ascertains nature of business and directs to appropriate party for disposition; responds to inquiries and complaints.

Performs a variety of complex clerical and office assistance duties; operates a variety of office equipment.

Encourages and promotes a culture of excellent service.

Knowledge, Skills and Abilities

Thorough knowledge of departmental procedures and equipment and of office and clerical operations; general knowledge of the operations of local government; ability to follow complex oral and written directions; ability to meet governmental officials and others with tact and diplomacy; ability to operate standard office, data entry and word processing equipment; ability to maintain complex records and prepare reports from such records; ability to plan and supervise the work of others; ability to establish and maintain effective working relationships with associates, contractors, vendors, and the general public.

Education and Experience

Bachelor's degree with coursework in business administration, marketing, or related field preferred and considerable experience in administrative support work involving public contact including some supervisory experience, or equivalent combination of education and experience.

Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; work regularly requires speaking or hearing and using hands to finger, handle or feel, frequently requires sitting and repetitive motions and occasionally requires standing, walking, stooping, kneeling, crouching or crawling, reaching with hands and arms, pushing or pulling and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data and observing general surroundings and activities; work has no exposure to environmental conditions; work is generally in a moderately noisy location (e.g. business office, light traffic).

Special Requirements

Specific certifications, licenses and/or training may be required, as determined by the department or agency placement.

Favorable background history as determined by review of local, State and Federal records.

Valid driver's license in the State of Georgia with a favorable driving history.
