Executive Assistant Role Responsibilities

  • Scheduling appointments and meetings for executives and upper-level staff as well as extensive diary management as required
  • Managing email inbox and sending responses
  • Format information for internal and external communication - memos, emails, presentations, reports
  • Ordering and collecting lunch for external meetings
  • Arranging travel and booking accommodation
  • Maintain a high degree of confidentiality with regard to issues concerning members of staff and all stakeholders
  • Recording meeting minutes as and when required.
  • Acting as the first point of contact for visitors and callers to the company
  • Greeting guests and showing them through to the meeting rooms
  • Preparing meeting rooms and ensuring refreshments are available for each meeting
  • Managing meeting room bookings
  • Ensuring rooms are kept tidy and ready for both internal and external meeting
  • Event planning when necessary
  • Other duties as assigned

Office Management Responsibilities

  • Procuring office, kitchen and food supplies including order management of confectionary, tea, coffee, other drinks etc.
  • Monitoring levels of stationery and other consumables and ensuring that orders for supplies are placed in good time
  • Working closely with the IT department to facilitate changing procedures, equipment set up etc. Basic functions may include changing printer cartridges and troubleshooting equipment
  • Managing all health & safety for our London and Cardiff offices, including compliancy with first aid and fire safety
  • Conducting regular risk assessments and ensuring all certifications are up to date
  • Ensuring all building maintenance records are up-to-date and ensuring the company is always compliant
  • Managing workplace security by issuing, checking, and collecting badges/fobs as necessary and maintaining visitor logs
  • Liaising with maintenance contractors and suppliers for the New York office
  • Acting as a resource and connection point for all employees regardless of status (in-office, hybrid or remote employees)
  • Organizing company and team events
  • Assisting Human Resources/IT with the onboarding of new joiners;

Your Qualifications/Experience

  • 3 years’ experience in a similar role
  • Must possess strong administrative skills; proficient in MS Outlook, Word, PowerPoint and Excel
  • Proficient in using Zoom, Microsoft Teams, etc.
  • Office management experience
  • Good written and oral communication skills
  • Time management skills
  • Good use of initiative and common sense
  • Proactive and flexible attitude
